Job Qualifications
Graduate of Bachelor of Science in Business Administration or equivalent
Proficient in MS Office, with exceptional knowledge in Excel and PowerPoint
Knowledgeable in office management systems and procedures
With working knowledge in office equipment, like printers and fax machine
Excellent time management skills, ability to prioritize work, and manage expectations
Strong organizational skills with the ability to multi-task
Able to work independently
Can communicate articulately and efficiently (both written and oral) with internal and external clients
Attention to detail and problem solving skills
Trustworthy
Discreet in handling confidential information
With at least one year relevant experience
Duties and Responsibilities
Answer and direct phone calls to relevant staff
Schedule meetings and appointments as necessary
Take notes and minutes of the meetings
Order and maintain stock of office and project site supplies and do inventory as necessary
Research and book travel arrangements for business trips
Prepare documents for meetings, business trips, accreditation requirements, and the likes
Write and distribute email, correspondence, memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Maintain contact lists
Submit and reconcile expense reports related to petty cash reimbursement/liquidation
Act as the point of contact and provide general support to internal and external clients
Find ways to improve administrative processes
