About the RoleThe Administrative Assistant plays a critical role in supporting the accountants
while ensuring a seamless and positive client experience. By assisting in managing the
movement of documentation, client communication, and clerical tasks, this position contributes
to an efficient client journey, allowing the accountants to focus on delivering high-quality
services to our clients.Key Responsibilities:
● Client Engagement: Serve as an important point of contact for clients, ensuring timely
and professional communication. Assist clients with submitting financial documentation,
addressing inquiries, and providing support throughout their interactions with the
accountants.● Client Journey Management: Ensure a smooth and positive client experience from
start to finish. Maintain proactive communication regarding project statuses, deadlines,
and any issues or concerns, ensuring clients feel informed and valued throughout the
process.● Scheduling and Coordination: Coordinate meetings, calls, and appointments between
clients and accountants. Ensure that schedules are aligned and that all necessary
information is prepared for client interactions.● Client-Centric Correspondence: Prepare, proofread, and manage all client-related
communications, including emails, letters, and memos, with an emphasis on clarity,
professionalism and responsiveness.● HubSpot Ticket Management: Assist the accountant in maintaining and updating client
information in HubSpot, including ticket status, notes, and follow-up actions. Track and
manage client inquiries to ensure timely responses and resolutions.● Data Entry and Record Keeping: Accurately enter and update client data and
documentation into relevant systems, ensuring proper archiving and confidentiality.
Adhere to company policies and legal regulations related to data management and
privacy.
● Problem Resolution: Identify and escalate any client issues or concerns to
accountants, ensuring prompt resolution and maintaining a high standard of service
delivery.Qualifications:
● Attention to Detail: A high level of accuracy in managing client information and financial
documentation.
● Excellent Communication Skills: Strong written and verbal communication skills, with
the ability to interact confidently and professionally with clients.
● Adaptability: Ability to quickly learn and adapt to different systems, software, and
