The Bureau of International Trade Relations is currently in need of an Administrative Assistant III (Secretary II) in its Office of the Director. The said bureau engages and represents the country in bilateral and multilateral trade and investment negotiations such as the World Trade Organization (WTO), Association of Southeast Asian Nations (ASEAN), Asia Pacific Economic Cooperation (APEC), among others.
JOB SUMMARY
Under general supervision and with some latitude for the exercise of independent judgment, provides secretarial services and administrative support to the Office of the Director, and does other related tasks that may be assigned from time to time.
JOB OUTPUTS
Calendar of Activities/Appointment Schedule of the Director, meeting list, the database of files, notes for telephone calls, logbook of incoming and outgoing documents, mailing list, simple memos/letters, travel documents, performance commitments.
DUTIES and RESPONSIBILITIES
Sets up/organizes and maintains a filing system for OD files, archives, and other records systematically (in alphabetical order) for easy storage, reference, and retrieval.
Manages incoming and outgoing phone calls and mail correspondence.
Records incoming and outgoing mails.
Proofreads outgoing mails before they are sent out, copy and fax documents by operating office equipment correctly.
Projects the image of the Office of the Director by offering a friendly and professional reception to people who come into the office.
Carries out routine clerical tasks and errands.
Takes down dictation from supervisor and prepare correspondence or execute the work.
Arranges/books travels of supervisor and prepare the required documents.
Maintains office supplies inventory to ensure availability at all times.
Acts as liaison between the various divisions and the Director and gives an accurate report of the units to the Director.
Does other related tasks assigned by immediate supervisor from time to time.
