Job Overview:
As an Admin/Payroll Assistant, you will be an integral part of our administrative team, providing essential support in both general office administration and payroll functions. You will contribute to the overall efficiency of our organization by handling administrative tasks and assisting with payroll activities.
Job Description:
1. Administrative Responsibilities:
Perform general office duties, including answering phones, responding to emails, and maintaining a well-organized office environment.
Assist in the coordination of meetings, appointments, and other administrative tasks as required.
Manage office supplies, ensuring availability for day-to-day operations.
Assist with data entry and record-keeping.
2. Payroll Responsibilities:
Support the payroll process by accurately inputting and processing employee information.
Calculate and process payroll transactions, including salaries, overtime, and deductions.
Verify and reconcile timekeeping records to ensure accuracy.
Collaborate with HR to address payroll-related inquiries and resolve discrepancies.
Assist in the preparation of payroll reports for management.
3. Compliance and Documentation:
Stay informed about labor laws and regulations to ensure compliance in payroll processing.
Maintain accurate and up-to-date employee records and payroll documentation.
Assist with audits and provide necessary documentation as required.
4. Communication and Team Collaboration:
Communicate effectively with employees regarding payroll-related matters.
Collaborate with colleagues in HR, finance, and other departments to streamline processes and resolve issues.
Requirements
Diploma or equivalent; additional coursework in accounting or business administration is a plus.
Previous experience in administrative roles, with a focus on payroll administration is desirable.
Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with payroll software.
Strong attention to detail and accuracy in data entry and record-keeping.
Excellent written and verbal communication skills.
Ability to prioritize tasks, manage time efficiently, and handle multiple responsibilities.
Demonstrated ability to handle sensitive information with discretion.
Willingness to collaborate with colleagues and contribute to a positive team environment.
Ability to adapt to changes in procedures and regulations.
