ADMIN COORDINATOR
 
Roles and Responsibilities:
Responsible for delivering a range of personnel services involving recruitment & selection, compliance to pre employment requirements, employment contract documentation & ID issuance.
Facilitate and provides assistance with the Area Supervisor, Branch Head and HR Head in conducting investigations of incidents and or employee's infractions, violations issues and concerns. Accordingly, provide and submit corresponding reports and recommend corrective courses of action.
Submits regular reports required, arrange booking appointments and or organize scheduled meetings as required for staff and officers.
Responsible for retention and archiving all personnel records. (soft and hard copy)
Checking of items in MIR before delivery.
Submits monthly collection report to Collection Officer
Prepares payroll of deployed employees and submit to Cebu Branch for checking.
Printing of billing and attachments to be submitted to clients and preparing of internal billing(HFC) .
Monitors pre-signed cheques, invoices and official receipts.
Prepares and liquidates cash advances.
Prepares APV & CV for payroll & monthly dues such as rental, water & electric bills, telephone, etc.
Handles petty cash.
Prepares last pay of resigned employees.
Qualification:
Preferred fields: Bachelor Science of Accountancy
Knowledge:
Proficiency in office procedures, systems, and best practices.
Understanding of budget management and reporting.
Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook).
Basic awareness of the industry or organization's sector to better align with its goals and functions.
Skills:
Exceptional time management and ability to handle multiple priorities simultaneously.
Strong attention to detail and accuracy.
Excellent verbal and written communication skills for drafting reports, memos, and correspondence.
Ability to liaise effectively with various stakeholders.
Problem-Solving and Critical Thinking:
Ability to anticipate issues and implement solutions proactively.
Capable of collaborating with diverse teams while independently managing responsibilities.
Flexibility to manage changing priorities and unforeseen tasks effectively.
Experience:
Ensures accurate salary calculations, tax deductions, and adherence to labor laws.
Proven ability to meet strict deadlines, which is critical in administrative coordination.  
Handling sensitive employee information demonstrates integrity and discretion.
Experience in preparing and managing invoices ensures financial operations run smoothly.
Maintaining detailed billing records aligns with administrative documentation needs.
Resolving billing inquiries shows communication and problem-solving skills.
Managing payroll cycles and billing processes requires meticulous planning.
