This is a remote position.
Job Summary:
The role is mainly responsible for providing general reception and administrative functions in the course of servicing the needs of the client base and the professional staff of The Anna Centre. In accordance with the procedures outlined in the Procedures Manual, perform the tasks outlined under Key Responsibilities and Duties. Maintain excellent stakeholder relationships through excellent customer service and stakeholder management.
Responsibilities:
Reception Services
Take direction from the Practice Manager and assist them with all requests.
Receive all incoming phone calls and respond in the appropriate manner. Where necessary take messages and refer to the relevant person.
Manage the intake procedures for new clients as required by the different referrals.
Liaise with doctors, clinics and clients to confirm bookings where any problem arises.
Make appointments and manage any changes to appointments, i.e. cancellation, rescheduling or late arrivals.
Allocate clients and appointments to therapists to ensure full diaries for all practitioners where possible. This includes filling cancelled appointments in a timely manner.
Input and maintain accurate client information
Assist with general office duties, photocopying, scanning, mail-outs, co-ordination phone calls etc.
Bookkeeper
Maintain daily reconciliation process
Ensure admin staff are entering invoices and payments correctly onto the Halaxy system and including all relevant data required.
Manage fortnightly payroll
Create fortnightly remittance advices for contractors
Manage accounts payable and receivable
Keep up to date list of outstanding accounts.
Liaise with The Anna Centre accountant to submit BAS and to ensure legal and financial compliance.
Prepare and provide management with financial and data reports as requested.
Confidentiality
Ensure that client, practitioner and business information is kept completely confidential at all times.
Additional Items
Utilise problem solving skills and initiative where necessary to address issues faced on a day to day basis.
If required fill in for other admin staff where possible.
Requirements
At least 3 years of relevant work experience - non-negotiable
Must have an experience of using Xero
Excellent communication skills - both written and verbal
Organizational Skills

Tech Savvy
Problem-solving skills
Can work independently
Must have Fiber Optic internet with at least 25 Mbps bandwidth
Must have a backup desktop or laptop with the latest OS
Must be able to work from 6AM-3PM
