Administration Assistant
Role purpose/Job Summary
The Administration Assistant provides administrative and clerical support to the client. You are responsible for maintaining and organizing documents and database while ensuring accurate and correct information. You are also accountable to answer inquiries and requests as deemed proper and necessary.
Top 5 daily tasks the person will perform in the role:
Manage workflow in & out of the office (via creating job codes and filing source documents
Manage client document e-signing packs (tax, financials, ASIC, including preparation of cover letters and final pack)
Draft emails to clients (particularly ATO queries) and to ATO for remissions
Drafting invoice for approval
Corporate compliance (downloading and sending out annual company statements)
Duties and responsibilities:
* training will be provided for these tasks
Providing office support including customer and employee support
Uploading documents to Google Drive
Preparation of basic ASIC documents (e.g. change of company details)
Keeping well-organised files and records of business activity
Researching company data and archived reports
Keeping computer databases up to date
Interacting with clients either on the phone or via e-mail
Answering phones and connecting calls to the proper department
Following up on business communications and billing.
Invoicing and Reminder
Collecting and inputting company data
Preparing documents
Writing and editing company correspondence
Assisting with minor support
Giving feedback on office efficiency and suggesting possible improvements
Other adhoc administrative tasks as required
Assist support of onshore staff
Preparation of Group Structure
Qualifications
Written English communication skills
Ability to work to deadlines
Proactive, self-motivated & organised
3+ years' experience in a similar role
Personal attributes:
Communicates proactively
High attention to detail / Organised
Fast learner
Keen to grow and learn new things
Have a positive attitude and self-motivated
