Provide an efficient service to callers to the Helpdesk
Ensure all relevant work requests received by the Helpdesk, are logged correctly and timelessly, then transmitted to the appropriate supplier (forwarding of PO), and that follow ups are done on a daily basis.
Ensure a daily call log is kept of all calls made to and from the Helpdesk
Report back to customers/client on job progress and close on a daily basis
Ensure that database records are accurate, comprehensive and updated, ensuring no job is past its target date
Informs and sends the cases for resolution to the Facility Officer
Ensures that all cases received are processed within the day.
Sends preventive maintenance schedules provided by the Facility Officer to be relayed to all clients. Ensures that clients will observe the schedules provided.
Monitor works progress from the initial report stage, through quotation receipt, ordering, and completion of works and invoice receipt.
Assist the Team on its day-to-day operation
Receives/record in-coming correspondences and assures correct and timely distribution to all pertinent concerned parties.
Receive/Process Progress Billing request of the General Contractor and Suppliers
Prepare activity reports/daily tracker
Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
With Bachelor's degree in any course
with relative experience in Admin/ Customer Service
Experience working within a Facilities Management / customer services environment is an advantage
Possess the ability to remain calm under pressure & not react adversely to customer or suppliers. Excellent communication, interpersonal skills & telephone manner
Confident and able to use initiative
Has intermediate MS office skills to include Word, Excel and PowerPoint
