Job Description
We need to hire an Admin Assistant to provide top-level administrative support to executives and day-to-day support to our officers and employees. This person will be reporting directly to the HR / Admin Officer.
Admin Assistant Responsibilities:
· Provide top-level administrative support to the Company President and Chairman
· Support our managers/officers and employees, assisting in daily office needs and managing our company's general administrative activities.
· Maintain and create files or record-keeping systems. Sort, label, file and retrieve documents or other materials.
· Answer phones and direct all incoming calls to the appropriate party promptly and efficiently
· Assist in collecting and maintaining orders and contact information of clients and competitors
· Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies
· Monitoring office files and re-ordering supplies
· Create and send purchase orders to suppliers as needed
· Arrange and book travel arrangements and hotel accommodations for executives and staff
· To assist in organizing meetings, seminars, conferences, workshops, and other company events.
· Assist in bidding preparation
· Other tasks that may be assigned from time to time.
· Provide all administrative assistance to technical support engineers as but not limited to:
· Maintaining inventory of all demo workstations, laptops, monitors, Primera publishers, etc.
· monitor support calls and itinerary of engineers and assist them in entering trouble tickets in CRM
· maintain a file for each client for all the service calls and service reports
- Perform renewal processing of all government requirements such as mayor's permit, business license, BIR returns, etc.
Requirements and skills
· Bachelor's degree; additional qualification as an administrative assistant
· At least 1 year of Administrative Assistant experience
· Knowledge of office management systems and procedures
· Working knowledge of office equipment, like printers and fax machines
· Proficiency in MS Office (Outlook, Excel, PowerPoint, Word document, and pdf files)
· Excellent time management skills and the ability to prioritize work
· Attention to detail and problem-solving skills
