Job Overview
Responsible for the operation and administration of the Engineering office. Works closely with the Director of Engineering to carry out responsibilities assigned to her and in accordance with established policies and procedures to perform a smooth operation of the Engineering Department. Directly reports to the Director of Engineering and carries out the administrative works that may be required and delegated by the Director of Engineering and the Department as a whole such as receiving, filing, and coordinating with other departments pertaining to administrative tasks.
Duties and Responsibilities
Directs and coordinates the office administration according to the instructions of the Director of Engineering and the property policies and procedures.
Receives and reviews all incoming correspondence, stamps the date, signs and submits to the Director of Engineering.
Prepares monthly Utility Consumption Report, Life Safety Report, and quarterly and annual reports.
Organizes and prepares the Monthly Engineering Report.
Ensures all necessary files are in order and updated.
Records all outgoing Purchase Requisitions for any information needed by the Director of Engineering.
Prepares and records all outgoing payment requests i.e. electricity bills, water bills, LPG and Diesel Fuel to be submitted to the Accounting Office.
Familiarizes thoroughly with all regulations regarding safety at work and observes these meticulously at all times.
Prepares weekly requisition for engineering office supplies.
Organizes the office of the Director of Engineering and facilitates in and out documents.
Advises and reminds the Director of Engineering of appointments.
Responsible for recording and submitting the Engineering personnel's daily time sheets to the Human Resources Department.
Responsible for organizing and scheduling Engineering meetings.
Follows all instructions, rules and regulations that may be issued.
Controls effective daily administrative materials utilization.
Ensures neatness in appearance, proper personal hygiene, and wearing of complete prescribed uniform and polished shoes in the workplace at all times.
Observes punctuality in the workplace.
Emphasizes on good personal behavior as per guidelines laid down in the Employee Handbook and promotes teamwork always.
Coordinates with various departments regarding needs for Engineering Department to administrative works.
Follows strictly all policies and procedures of the hotel and the Engineering Department.
Attends Engineering meetings and other hotel requirements regularly.
Ensures immediate provision of services to guests and other operating departments.
Responds and makes himself available for any call by the Director of Engineering during emergencies, troubles or calamities. Stays in the hotel as standby force to aid in emergencies.
Performs any other work and related functions as may be assigned by his superior to accomplish a smooth operation and maintenance of the hotel.

Candidate Profile
1. Competencies (skills & knowledge required for the Job): Have good computer skills; Knowledge in computer operation is desirable.
2. Experience: at least 3 years experience in administration works particularly in a deluxe hotel
3. Language: fluent in oral and written English
4. Education: at least a college graduate or graduate of equivalent secretarial course
5. Professional Certification/License: N/A
6. Personality: mature, polite, courteous, neat and well-groomed
7. Physical Requirements: physically and mentally fit, at least 5'4" in height
