Job Description
The AP Operations Manager is responsible for the overall management of the invoice processing and document management operations. The role also oversees the proper execution of AP strategies and timely and consistent delivery of AP operations services.
KEY DUTIES & RESPONSIBILITIES
Manages the AP Operations Team and is responsible for the team's overall compliance to Service Level Agreements (SLA) and established metrics or key performance indicators (KPIs)
Translates strategic direction into operational plans and cascades these plans to the APSS Operations team
Assists in the formulation of APSS strategic plans
Ensures alignment of team's KPIs to strategic priorities through regular review and updating of the team's balanced scorecard
Drives process review and improvements to align to best in class practices and to continuously increase team productivity and process efficiency
Conducts regular review of FTE productivity and workforce requirements and prepares strategic workforce plan for review of APSS Head and approval of CFO
Ensures team capability building through developing learning and development curriculum and ensures alignment with team members' Individual Development Plan (IDP) and Project Me
Assists in the development, regular review, and implementation of the career progression framework including key talent reviews
Revisits the table of organization regularly and ensures that succession plan is in place for critical posts
Oversees the implementation of various people-focused initiatives/programs such as monthly huddle, teambuilding, townhall, coaching, etc.
Responsible for the planning, implementation and regular testing of business continuity plan (BCP) and disaster recovery of APSS Operations Team
Prepares original budget and latest thinking forecast (LTF) budget for APSS cost center
Monitors APSS actual spending versus budget and conducts monthly reporting of variance analysis to APSS Head
Oversees the proper monitoring of APSS managed balance sheet accounts and subsidiary ledgers/schedules, conducts regular balance sheet reviews, and manages clean-up activities
Coordinates with relevant business units in the review and possible changes to APSS scope of services (i.e. scope expansion, change in RACI, etc.)
Qualifications
Education:
Bachelor's degree in Accounting or Finance is a must
Masters degree in accounting, business, or related field preferred
Experience:
At least seven (7) years of operational experience in an accounts payable shared services/ business process outsourcing organization
At least five (5) years experience in people management
Experience in program management or change management in a large organization
Licenses:
Certified Public Accountant (desired)
Lean Six Sigma Certification (desired)
Other Requirements:
Extensive knowledge in accounting standards and management principles
Solid knowledge on best/leading accounts payable practices
Knowledge on ERP preferably SAP and document management system
Ability to collaborate and work with other departments effectively
Strong analytical and problem solving skills
Strong business acumen & partnering skills
Strategic thinker and excellent planning & organization skills
Ability to effectively drive changes and innovation in the organization
