Job Overview:
The Accounts Payable Officer will be responsible for the accurate and timely processing of the company's accounts payable, ensuring compliance with local laws and regulations, and optimizing the accounts payable process.
Key Responsibilities:
Maintenance and administration of petty cash fund, ensuring that the balance is always accurate and sufficient for company needs.
Disburse petty cash for authorized expenses, ensuring that all disbursements are supported by appropriate documentation such as receipts, invoices, and vouchers.
Record all petty cash transactions accurately and in a timely manner, ensuring that all entries are supported by appropriate documentation.
Reconcile the petty cash account regularly, ensuring that the balance matches the amount of cash on hand and that all transactions have been recorded accurately.
Prepare and submit regular reports on petty cash disbursements and balances to management, finance, or accounting departments.
Ensure compliance with company policies and procedures related to petty cash management, including guidelines on disbursement limits, approval procedures, and documentation requirements.
Maintain the security of the petty cash fund, ensuring that it is stored in a safe and secure location and that access is restricted to authorized personnel.
Review and process employee expense reimbursements, ensuring that all expenses are reasonable, necessary, and compliant with company policies and procedures.
Process payroll for all employees, including regular and overtime pay, leaves, and other payroll-related transactions, ensuring accuracy and timeliness.
Ensure compliance with local laws and regulations related to payroll, taxes, and benefits, including but not limited to SSS, PhilHealth, and Pag-IBIG.
Manage the maintenance and accuracy of employee payroll records, including tax withholding and deductions, benefits, and other payroll-related data.
Coordinate with other departments such as HR and finance to ensure the smooth and accurate processing of payroll.
Respond to employee inquiries regarding payroll and benefits, and resolve any issues or concerns in a timely and professional manner.
Prepare and submit payroll reports, including payroll register, tax reports, and other relevant reports to management, government agencies, and other stakeholders.
Develop and implement policies and procedures to optimize the payroll process, increase efficiency, and reduce errors.
Keep abreast of changes in local laws and regulations related to payroll, taxes, and benefits, and update the payroll system and processes accordingly.
Coordinate with third-party service providers such as banks and insurance companies to ensure smooth and accurate payroll transactions.
Ensure the safekeeping of all files related to such as but not limited to payroll, petty cash, and reimbursements, and maintain an organized filing system.
Ensure the completeness, accuracy, and confidentiality of all documents and records, and provide access only to authorized personnel.
Retrieve files as needed for audits, compliance reviews, or other purposes, and ensure that they are returned to their proper location.
Other diverse range of duties and responsibilities that may be assigned by immediate superior, which could include but are not limited to tasks related to project management, training and development, quality control, client communication, and reporting, among other things, all of which are intended to support the achievement of organizational objectives.
Qualifications and Skills:
Bachelor's degree in Accounting, Finance, or related field.
Proven experience 2 years as an Accountant or Accounting Officer,
With SAP experience is preferred
Strong knowledge of accounting principles, regulations, and financial standards.
Excellent analytical skills with a keen eye for detail and accuracy.
Ability to work independently, prioritize tasks, and meet deadlines efficiently.
Strong communication skills for liaising with internal teams and external stakeholders.
