Accounts Payable team is responsible for handling of all vendor invoices, from receipt to payment. In addition, Accounts Payable team manages Benchling's travel and expense program, and partners with Procurement to operationalize purchasing experience for all Benchling employees. This role will be a valuable member of the Accounts Payable team and will be critical to its success.
Duties and responsibilities
Accounts Payable email inbox management and addressing vendor inquiries using Gmail
Invoice coding and processing using ZipHQ
Supplier contract review, PO processing and matching using ZipHQ
Tracking time using Google Calendar
Travel expense review, coding, and approvals using Navan
Travel expense reimbursement processing in accordance with business policies and approval
matrices using JPM Access and Slab
Travel expense support to address employee inquiries in Slack
Month End Close
Reconciliation workbook preparation in conjunction with FloQast tool
Vendor transactions trend analysis workbook preparation
Travel expense data import to NetSuite (credit card transactions, expense reports,
payments, etc.)
Train, educate, and adhere to the company credit card policy and assist users with virtual card
requests and approvals. Review and process credit card transactions, post the correct
descriptions and coding, and obtain documentation and support.
Participate in designing and executing best in class processes. Continue to develop systems and
processes to optimize scalability, efficiency and internal controls.
Lead or assist on special projects as needed (e.g. audits, tax and compliance filings, system
implementation, etc.).
Schedule
Expected availability for meetings/trainings (times are in Philippine Standard Time):
Once a week, 60 minute, 1:1 meeting with manager between 7pm-10pm on Monday or
9am-10am on Tuesday
Once a week, 60 minute, team meeting between 7am-8am on Friday
During initial training periods and then later on as additional meetings are needed,
60-180 minute meetings scheduled between 7pm-10pm (Mon-Thu) and/or 7am-10am
(Tu-Fri)
Preferences
Proficient with MacBook laptop
Strong accounting knowledge/experience
NetSuite accounting system experience
Proficient with excel, including xlookup, if-functions, pivot tables
Experience working in fast growth company
Analytical, fast-learner, and motivated to self-educate
Able to identify and report relevant issues to management for timely and accurate resolution
Excellent attention to detail, note-taking, and organizational skills
Must be able to prioritize tasks to meet collaborative deadlines and demands
Versatile, enjoys working in a fast-paced environment and manages multiple projects and tasks
Ability to communicate effectively with teammates and various levels of management as well as
external contacts, with strong customer service orientation
Reliability with strong work ethic, maturity and professionalism to handle confidential data
A successful candidate should be prepared to submit and complete the following as part of onboarding requirements.
• Scanned copy of valid NBI Clearance
• Accomplished Medical or PEME Slip
• 2x2 & Half body picture with white background
