Key Responsibilities:
Invoice Processing: a. Receive, review, and verify supplier invoices for accuracy, completeness, and compliance with company policies. b. Match invoices with purchase orders and delivery receipts to confirm the accuracy of goods or services received. c. Code and categorize invoices for proper accounting treatment. d. Ensure appropriate approvals are obtained for payments.
Payment Processing: a. Process payments to suppliers, which may include checks, electronic fund transfers, and wire transfers. b. Schedule payments in a manner that optimizes cash flow while taking advantage of any early payment discounts offered by suppliers. c. Reconcile payments made with supplier statements to ensure accuracy.
Vendor Management: a. Maintain accurate and up-to-date vendor records, including contact information and payment terms. b. Address vendor inquiries and resolve discrepancies or disputes related to invoices or payments. c. Establish and maintain strong relationships with key suppliers.
Reporting and Reconciliation: a. Reconcile accounts payable sub-ledger to the general ledger to ensure accuracy. b. Prepare and maintain financial reports related to accounts payable for management review. c. Monitor and analyze aging reports to identify overdue payments and areas of concern. d. Assist in the month-end and year-end closing processes.
Compliance and Documentation: a. Ensure compliance with company policies and relevant accounting standards. b. Maintain organized and up-to-date financial records and supporting documentation. c. Assist in audits by providing necessary documentation and explanations.
Process Improvement: a. Identify opportunities for process improvements to enhance efficiency and accuracy. b. Recommend and implement changes to streamline the accounts payable process.
Qualifications:
Bachelor's degree in finance, accounting, or a related field.
2+ years of experience in accounts payable, accounts receivable or a similar role.
Proficiency in Microsoft Excel and/or any accounting software, SAP systems
Strong analytical and problem-solving skills.
Attention to detail and a high level of accuracy.
Effective communication and interpersonal skills.
Ability to meet deadlines and work effectively in a fast-paced environment.
Knowledge of accounting principles and regulations.
