What you'll do:
As the Accounts Administrator, your main purpose is to ensure the Company receives payments from customers and records these transactions accordingly. This includes securing revenue by verifying and posting receipts, resolving discrepancies and following up late payments.
Additionally, the Accounts Administrator role will assist and cover where necessary the duties of the Accounts Payable position.
Key responsibilities for this role include:
Provide positive customer support and general finance administrative support
Debt collection utilizing appropriate escalation
Daily payment allocation
Investigating and resolving any irregularities or enquiries on customer payment
Performing customer account reconciliations upon request
Process sales orders for accounts under receivership
Release sundry orders (COD) upon receipt of payment
Manage customers who are in arrears in excess of 90 days. Ensuring that disputes are proactively managed and resolved.
Generating monthly account statements
Collaboration with the team during the calendar period (docket and or invoicing)
Maintaining filing for customer payment records
Cover Accounts Payable duties where necessary
All other duties and tasks as directed by the Accountant and Senior Management
Job relief when someone from the team is away:
Monitoring and attending to the Accounts mailbox
Supplier invoicing (products and sundry) and allocate supplier payment
Create customer delivery docket or invoicing
Create manufactured product (power ticket, collateral product range)
Assist in EOM closing and rollover plus generating sales reports in the absence of the Accountant
Process credit application and open new customer account
Closing customer accounts when the need arises
All other duties and tasks as necessary to cover the AP role
Successful candidates must have:
At least 3-5 years proven experience in an Accounts Administrator AP/AR position or equivalent
Solid understanding of basic accounting principles and collection regulation
Proven ability to calculate, post and manage accounting figures and financial records
Experience with accounting software and MS Office. Knowledge of Pronto is preferred.
Qualifications in Accounting, Bookkeeping, Finance or equivalent are highly favourable
An ability to prioritise and manage expectations
Accuracy and attention to detail when managing accounting figures and records
Ability to work autonomously, yet be part of a broader team
Ability to build and manage client relationships
Proficiency in data entry
Team player with the capacity to communicate and coordinate with multiple departments
Willingness to travel and work onsite in Alabang, Muntinlupa
