l Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
l Creates invoices according to company practices.
l Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
l Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
l Creates reports regarding the current status of customer accounts as requested.
l Assists in generating monthly billing statements based on the general ledger.
l Assists the Accounting Head in reconciling revenue accounts each month.
l Copies, files, and retrieves materials for accounts receivable as needed.
l Monitors and maintains current inventory levels; processes purchasing orders as required; tracks orders and investigates problems.
l Records purchases, maintains database, oversees physical count of inventory conducted by the departments, and reconciles actual stock count to computer-generated reports.
l Processes and documents returns as required following established procedures.
l Oversees employee paychecks.
l Calculates net salaries considering deductions and withholdings.
l Ensures payroll and tax documents are accurate.
l Updates general ledger and payroll files.
l Prepares accounting files, records, and schedules.
l Monitors paid and unpaid leaves.
l Processes overtime earnings or holiday deductions.
l Answers employee questions concerning payroll.
l Participates in payroll audits.
l Ensures compliance with governmental laws on payroll accounting and taxes.
l Creates and monitors a system of controls, procedures, and forms for the recording of fixed assets.
l Assigns tag numbers to fixed assets.
l Records fixed asset acquisitions and dispositions in the accounting system.
l Tracks the compilation of project costs into fixed asset accounts, and closes out those accounts once the related projects have been completed.
l Reconciles the balance in the fixed asset subsidiary ledger to the summary-level account in the general ledger.
l Calculates depreciation for all fixed assets.
l Reviews and updates the detailed schedule of fixed assets and accumulated depreciation.
l Investigates the potential obsolescence of fixed assets.
l Conducts periodic physical counts of fixed assets.
l Recommends to management whether fixed assets should be disposed of.
l Conducts analyses related to fixed assets as requested by management.
l Prepares audit schedules relating to fixed assets, and assist the auditors in their inquiries.
l Tracks company expenditures for fixed assets in comparison to the capital budget and management authorizations.
Financial Statement Closing
l Assists the Accounting Head with G/L account reconciliation, budget preparations, and monthly closings.
l Assists the Accounting Head with completing monthly and year-end audit process.
l Reconciles bank statements.
l Accomplishes accounting and organization mission by completing related results as needed.
l Performs other related duties as assigned.
