Responsible for collecting, reviewing, scanning, and organizing documents (ex: employee files, reimbursement and vendor documents) for a project involving high-volume conversion of paper files to electronic files in cloud storage and including filing of the hardcopies of the documents. This is a 3 to 6-month temporary position.
ROLE RESPONSIBILITY:
Major Responsibilities, but not limited to:
Receive and process incoming files from internal teams.
Organize and scan files for electronic storage;
Ensure each file is readable and scanned completely
Ensure files are properly classified, named, and saved in corresponding drives
Assist with receiving and filing related documents in a timely manner, make accurate entries
Ensure that the hardcopies of the files are filed accordingly and labelled properly.
Ensure confidentiality and discretion at all times
Provide administrative assistance when needed
Assist on validation of receipts and documents.
Other duties as assigned
Required skills:
Graduate of any 4 year course
Administrative experience in a busy office environment
Experience handling employee files and legal document.
Strong communication skills
Proven ability to maintain confidentiality, tact, and diplomacy at all times
Strong administrative and organizational skills with ability to multi-task and meet tight deadlines
Proven ability to work in a team environment and/or independently with minimal supervision
Demonstrated commitment to providing excellent customer service, internal and external
Must be accurate, thorough, and dependable;
Intermediate level proficiency with MS Word, Excel and Adobe.
