Accounting & Purchasing Assistant
Job Summary: Responsible for managing all purchase order for the two deli shop including the raw materials for the commissary. Oversee the pick up & shipping schedule of all the incoming & outgoing materials for the two deli shop & commissary. Maintain purchase records and oversee suppliers price activity. Manage Inventory of all purchased materials for the two deli shop & commissary.
Duties & Responsibilities:
1. Manage Purchase Orders
• Maintain purchase orders for raw goods, materials, and supplies for the two deli shop & commissary. Record purchases at the time of request and submit these orders for final approval.
2. Oversee Shipping Schedules
• Manage pickups and drop-offs for incoming and outgoing shipments. Always check delivery versus purchase order to ensure that all materials that arrived are intact and complete.
• Schedule deliveries in the two deli shop & commissary. Also process returns to the supplier.
• Contact supplier for late or missing deliveries and damaged goods.
3. Maintain Purchase Records
• Maintain a detailed reports of purchases, including quantities ordered and received, shipping information, and costs associated with the purchase.
• Compile and submit these records to the accounting department to support financial management and reporting.
4. Oversee Vendor Activities
• Work closely with suppliers to gather and negotiate price lists, compare suppliers offers for shipping rates and material prices, and maintain vendor contract records.
Manage Inventory
• Monitor the company's inventory levels to determine when new purchases should be scheduled.
• Do monthly inventory report
• Collate inventories of the two deli shop & the commissary
5. Accounting Assistant
• Check all daily sales report of the two deli shop & the commissary
• Make a monthly sales report of the two deli
• Check all credit, debit card, online, and g-cash payments of the two deli shop if all sales collectin are deposited on a daily basis
• And assist accounting with other work especially on payables days.
Requirements
Minimum education level: Bachelor ́s Degree
Years of experience: 2
Language(s): English
Knowledge: Internal audit, Accounting, Team building, Negotiation
Availability for travel: Yes
