SEND IT OUT INTERNATIONAL OUTSOURCING INC is looking for an ACCOUNTING & ADMINISTRATIVE ASSISTANT
Location: Ortigas, Pasig (at the back of Robinsons Galleria)
Schedule: Graveyard Shift.Fixed weekends off. Office-based.
Job Description:
The Accounting & Administrative Assistant will be responsible for performing a number of accounting and administrative duties. You will manage mostly business-related tasks for the team such as creating reports, creating invoices and receipts, organizing travel and accommodation, taking minutes, answering calls, and other organizational tasks. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
Responsibilities:
-Handling office tasks such as compiling data, generating reports, presentations, setting up meetings, re-ordering supplies.
-Handle administrative requests and queries from senior managers
-Plan meetings and take detailed minutes
-Write, create, and distribute emails, correspondence memos, templates, and forms
-E-Mail Management and Calendar Management
-Preparation of regularly scheduled reports
-Develop and maintain a filing system
-Update and maintain office policies and procedures
-Maintain contact lists (employee, client, vendor accounts, etc)
-Website management
-Booking appointments and giving out reminders
-Making travel arrangements such as booking tickets and hotels. Car and restaurant reservations.
-Screening phone calls and routing to the necessary department.
-Company Conferences / Event Planning
-Submit and reconcile expense reports
-Account Payables (e.g. create client invoices and process vendor invoices)
-Account Receivables (e.g. monitor cutomers and follow-up on deliquent accounts, process receipts, preparation of A/R status reports)
-Payroll
-Answer and make calls to customers or vendors
-Maintain data entry requirements and review data for deficiencies
-Verifies entered customer and account data by reviewing, correcting, deleting, or reentering data.
-Provide general support
-Act as point of contact for internal and external clients
-Must have extensive experience using Google Suite, MS Office
-Anticipate the needs of others in order to ensure a seamless and positive experience

Qualifications:
-At least 2-years of work experience as an Administrative Assistant or similar role
-Excellent Microsoft and Google Suite knowledge
-Outstanding time management skills
-Excellent verbal and written communications skills
-Familiarity with online calendars and cloud system
-Experience in exercising discretion and confidentiality with sensitive company information
-Excellent organizational skills with an ability to think proactively and prioritize work
-Must be able to meet deadlines in a fast-paced changing environment.
-A proactive approach to problem-solving with strong decision-making skills.
-A bookkeeping experience is a MUS
