Job Title: Strategic Assistant
Direct Report: Managing Partner
Start Date: Immediately
Job Description:
Execute basic bookkeeping and accounting tasks in QuickBooks (primarily desktop version via virtual network) for various entities - e.g., monthly journal entries for incoming management fees, processing accounts payable periodically, completing monthly bank reconciliations, etc.
Review, organize, and standardize folder structures for various legal entities and deals that are housed in Dropbox.
Create schedules and templates (primarily in Excel or Word) on an as needed basis - e.g., property lease schedule, insurance coverage schedule, populating revenue recognition schedules based on provided data, etc.
Reconcile and/or combine datasets to create efficiencies and synthesize information. These datasets may include investor information, holding company information, or be related to existing or new portfolio company projects or information - e.g., combining two different datasets on existing clients of a portfolio company.
Assist in managing annual closing checklists for various legal entities - e.g., filing annual reports with applicable states, confirming tax information with applicable investors, uploading QuickBooks file to outside accountant for tax return preparation, sending tax forms to investors post-tax return completion, etc.
Liaison with applicable investors to fulfill requests and provide information on an as needed basis.
Manage and send calendar invites on behalf of Managing Partner to third-parties, etc.
Manage and keep firmwide checklist up to date via Monday platform.
Assist in other ad hoc projects on an as needed basis.
Required Competencies and Strengths:
An ability to simultaneously manage multiple projects across disciplines and companies As such, an ability to manage and prioritize time is critical.
Strong communication (written and verbal) skills as interactions with investors (primarily via e-mail exchange) will be required. Additionally, candidate can expect to spend a lot of time on Microsoft Teams or Zoom with Managing Partner or other TCG team members.
An ability to listen and learn quickly and problem-solve as a variety of different tasks will be handled in this role which will likely grow over time.
Attention to detail and keep information, files, folders, and task lists organized. An entrepreneurial and/or proactive attitude is a plus - e.g., organizing folders that are identified as messy without being asked.
Knowledge of Microsoft Excel, Outlook, and Word is critical as well as QuickBooks. Any prior experience navigating through Dropbox is a plus.
Ideally, candidate has a long-term mindset that envisions being a part of a growing team for the foreseeable future (e.g., five (5) or more years).
