Position Description:
Position Title: Virtual Property Management Assistant
Classification: Assistant
Salary Grade: 25000 - 33000 Peso / month
Reports To: Account Manager, Client
Primary Relationships: Client Team
Date(s): March 2021
Background:
One of our real estate partners in California is looking for a Virtual Property Management Assistant. You will collaborate directly with the owner of the company and their internal staff.
As a Virtual Property Management Assistant, you will be required to operate in a number of different capacities. You will manage mostly personal and business-related tasks for your client such as inbound and outbound warm/cold calling, emailing, following up, calendar management, and things of this nature. All around, you will need to be dynamic and flexible. To do this role properly you should have a detailed understanding of the full Microsoft Office suite and Google suite.
Main Roles:
You will manage a calendar and CRM - your digital tools to stay organized.
You will handle administrative, marketing, and social media tasks
Basically, you need to be dynamic, flexible, and hard working!
Schedule:
- Must feel comfortable working US business hours
Responsibilities:
- Updating Work Orders through management software
- Coordinating appointments between tenants and vendors, as required
- Using discretion to assign the proper level of urgency and degree of repair needed
- Obtaining estimates for approval through the Work Order
- Tracking and proofing invoices for maintenance; Creating Bill in software
- Answer any MCC phone calls/emergency calls; and assist MCC as needed
- Track MCC Work Orders; including updating and follow-through
- Processing Rent Ready Repairs lists
- Develop vendors
- Verify all vendors have current insurance
- On-call availability via WRPM provided cell phone
- Arranging additional services with refuse companies, as needed
- Onsite Investigations ie: vagrants
- Assisting in keeping Auto Arrest arrangements with local authorities current
Requirements:
- A minimum of 1-2 years in a BPO setting or equivalent as an Virtual or Executive Assistant
- Bachelor Degree holder or equivalent experience in the BPO Industry
- Excellent English language skills (written and speaking)
- Good time management and task management skills
- Noticeable organizational and prioritization skills
- Ability to work independently and meticulously
- Proficiency in MS Office and Google Suite
- Able to demonstrate initiative
