Position Title: Virtual Executive Assistant
Classification: Supervisory
Salary Grade: 40,000 - 60,000
Reports To: Operations Manager, Client
Primary Relationships: Client ExecutiveTeam, Customers, Suppliers
Target Start Date: April 19, 2021
Schedule: Must feel comfortable to work on US hours (graveyard shift)

Responsibilities:
Support the firm's Partners
Organize client meetings
Project management * Display professional communication via phone, text, and email at all levels
Calendar management including conference calls, vacations,travel bookings, itineraries and Visa coordination
Phone management (inbound and outbound) and data entry * Scheduling, appointment setting, complete monthly expense reports in Expensify
Manage Deal Flow in Trello and Salesforce
Compile daily Deal Flow Report * Update various Trello boards, Google drive folders, Google documents, and Notion documents
Coordinate travel (book flights, hotels, travel research, ect) * Various Research Tasks - Some of these will require phone calls and strong problem solving skills. They may look easy and simple but often aren't
Manage bill.com, monthly expense report in Expensify, FSA account, and pay bills
Send out weekly handyman list * Support office administration like ordering supplies,managing conference logistics, production of materials like presentation books and reports, event planning, and other administrative support needed
Source, manage, and follow up via email and phone with various contractors (Handyman, plumber, ect) for home maintenance
Other tasks assigned
Requirements:
A smart Bachelor Degree holder in any field
A minimum of 3 years equivalent experience
Excellent English language skills (written and speaking) * Proven Project Management experience in a fasts paced enterprise environment
Prior knowledge of Google Suite (email, calendar, docs, sheets)
Experience and familiarity with Notion, Trello, Salesforce , Expensify
Highly trainable and comfortable in using new platforms * Can handle tasks assigned independently and deliver high-quality work under minimum supervision
Highly organized with keen attention to detail
Strong prioritization skills and can seamlessly multitask
Proficiency in MS Office and Google Suite
Experience in Marketing is an advantage.
Excellent time and task management skills
Strong problem solving skills
Confident in any engagement across all levels at all times
Excellent presentation skills
Ability to work independently and meticulously
Able to demonstrate initiative * Adaptable and comfortable in interacting with colleagues at all levels
