Job Description:
Our client is a professional institution and industry association in the Asia Pacific Region. They are looking for an excellent Virtual Assistant who will ensure the smooth and efficient delivery of governance activities and supporting members of the team and she/he will be directly reporting to the CEO.
Job Responsibilities:
CEO support and administrative tasks include email, diary, and calendar management; establishing, updating, and managing essential events.
Providing administrative support to the various governance committees and their meetings, including calendar management, minute taking and preparations for the Annual General Meeting.
Compile, format, and file monthly reports, including Board reports for the CEO.
Proofread documents and other office materials
Database building, entries, and updates / CRM
Group and CEO social media management on LinkedIn
Working with the Events / Education and Membership team to provide administrative support and backup admin services.
Events / Education calendar management establish, update, and manage important events.
Check emails and Manage Contact Us enquiries
Write and send client invoices
Maintain files within Dropbox and Sharepoint
Create forms or surveys for customer feedback
Back-up responsibilities include:
Education and Events
Education registrations, calendar management, and training partner liaison.
Education & event queries administration.
Administration of virtual platforms for online education, and venues, equipment, and catering for in-person education
Update registration lists for all education courses and communications with Training Partners. -Communicate via email and website with members & non-members for registrations, including ticketing invoices, group bookings and post-education surveys.
Membership
Member & industry newsletters and communications;
Working with the Membership Services Manager on corporate membership & training proposals
Marketing
Article and blog creation posts
Compose press releases and newsletters and submit them to news release directories
Produce content marketing material such as infographics, white papers, and eBooks
Database and CRM management
Requirements:
At least seven years of working experience as a high-volume administrator, support person, or another relevant role.
A passion for customer support.
Excellent interpersonal and communication skills, both written and verbal
Excellent diary management, time management and planning skills.
Attention to detail and accuracy
Proficient in MS Office (Outlook, Word, Excel & PowerPoint) and CRM software.
Experience with online services/applications such as SurveyMonkey, Mailer, Mailchimp, Jotform, YouTube, LinkedIn, Dropbox, Canva, Adobe is advantageous.
Online delivery skills to an audience are advantageous (Zoom, Teams, Go To etc.)
Ability to take the initiative and work independently on projects as needed
Understanding of not-for-profit membership association (desirable)
Initiative-taking with the ability to work autonomously and within a remote team environment
Excellent working PC/Laptop (should be Windows OS)
Reliable wired (DSL/Fiber) internet connection
