THERAPY SCHEDULER
 
Job Description:
 
The role of the scheduler is critical to the success of Nurture Collective (NC). The scheduler is responsible for keeping track of referrals, appointments, and timetables. The scheduler makes certain that all parties involved are up to date and agree to the conditions of attending therapy sessions. Marketing and customer service skills are required to assist families maintain their treatment sessions. The person for this role needs to be sales-oriented, like working with people, and is detail-oriented.
 
Our main office is located in Whittier, CA, USA. This job requires that the scheduler be based in Cebu City. It is also office-based and work hours will follow Pacific Standard Time (US).
 
The scheduler must possess the following skills:
Ability to problem solve - The scheduler must be able to think through scheduling problems and be able to come up with solutions. The role of the scheduler is to ensure that therapy staff is available during the patient appointment window.
Communicate effectively - The therapy scheduler must be able to communicate (verbally and written) effectively with coworkers and patients on a daily basis; and includes the ability to explain messages to others.
Interpersonal skills - The therapy scheduler is the first point of contact for Nurture Collective. The scheduler must be able to remain calm under pressure.
Customer service - The therapy scheduler must be able to respond to hurdles and soothe irate patients.
Time management skills - The therapy scheduler must have an organized way of organizing and planning how to divide your time between different activities.
Fast-learner - The therapy scheduler must be quick learner and capable of understanding new information at a rapid pace
Comfortable with learning new technologies. - The therapy scheduler must adopt new technologies.
Organizational skills - The therapy scheduler must be able to manage their time efficiently. The therapy scheduler must be able to divide their time between tasks that fluctuate based on peak hours. The scheduler is responsible for calling and answering calls during peak hoursand updating schedules, and other tasks to be completed during non-busy hours that may fluctuate throughout the work day.
Job duties of the Scheduler:
Answering phone calls and emails
Responding to emails
Appointment scheduling in a database
Using a database to know therapists' availability
Be able to mitigate scheduling conflicts
Managing the schedules of internal employees and fulfilling specific requirements
Running administrative reports and transmitting them to the proper source when upper management requests them
Send text reminders 24 hours before the scheduled treatment session to the family and therapist
Assist therapists with contacting families when they are in the field
During work hours, the scheduler will need to be in front of their computer, ready to take phone calls and respond to emails
Job Requirements:
College graduate
Excellent organizational and communication abilities
Experience in clerical or administrative work is a bonus
Knowledge of medical jargon is advantageous
Knowledge of basic computer programs
Spanish-speaking (verbal and written communication) is a plus
