In this position, you will be assigned to our client located in Melbourne Australia. A Microsoft Gold Certified Partner, they specialize in planning, deploying, and managing Office365, Dynamics365, and Azure applications to help organizations transform themselves from the inside out.
Your Responsibilities
You will assist in the provision and maintenance of project controls, reporting, meeting minutes, draft documentation, activity scheduling and calendar invitations, implementation, and administrative activities, and invoicing for Projects and other business initiatives.
You will provide administrative assistance to the Managing Director in the form of maintenance of various registers and reports that assist with the tracking of business performance.
You will work closely with all Project Managers to support them in the management of their projects.
Project Setup
Provision of project controls, file systems, collaboration spaces, documents templates, reporting templates, project registers, cost centers, payment milestones, and schedules for new Projects
Prepare for and attend the Sales to Delivery Project meetings, and record key information in the agreed format and template
Project Support
Adhere to data collection and maintenance procedures and timeframes to prepare, collect, record and input data for identified reports, registers, documents, and schedules
Update Project schedules, reports, and registers based on agreed changes
Interact with consultants, architects, and Project Managers to draft, review, improve, and format documentation and reports
Retrieve necessary information (e.g. user/client information and relevant case studies) for research, validation, and investigative purposes
Business Support
Schedule regular meetings, draft agendas, and record minutes (e.g. topics discussed, decisions, actions, assigned tasks, next steps) for review
Send and track meeting invitations and follow up reminders for scheduled meetings
Assist in the creation and maintenance of project and business documentation based on predefined templates
Assist in the creation and maintenance of reporting based on predefined templates
Additional Duties
Supporting sales activities including assisting with scoping and estimates for new deals and managing those opportunities in the system.
Carry out additional activities as directed from time to time by the Managing Director or Senior Leadership team.
Increase job knowledge by participating in companywide learning initiatives and company meetings
Your Background
Bachelor's degree in IT / Business related discipline
3-5 years of demonstrated experience in providing project administration services in medium to large projects within a professional technical services delivery environment.
Proficient in the following Microsoft products: Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook, Microsoft Teams
Excellent English communication skills both written and verbal
Excellent interpersonal skills for collaborating effectively with others
Has natural attention to detail in the updating of reports and drafting documents
Has previous experience and a strong aptitude for financial reporting and tracking
Can adapt quickly to change and be flexible in thinking
Can multitask, work well under pressure, and work efficiently to meet strict deadlines
Self-driven, passionate, tenacious, persistent and customer-focused
Works with a sense of urgency and goes the extra mile
Experience with these skills/tools are desirable, but not a requirement:
Exposure to both Waterfall and Agile Project Methodologies (Scrum)
