Job Summary
1. Ensures the proper administration of activities related to the operations of their handled station.
2. Coordinates with the station Operator regarding operations-related concerns.
Duties and Responsibilities
1. Compliance to Company Standards
1.1 Ensures that the organization's standard station operations policies and procedures are properly implemented, including but not limited to processes related to standard product receiving, product management and inventory, cash management, technical equipment management, station image standards, safety and security procedures, renewal of station permits, payment of utilities, requisition of station receipts or invoices, and management of other requirements.
2. Inventory Management
2.1 Monitors product orders and station inventory.
2.2 Confirms daily product orders to the assigned Retail Coordinator.
2.3 Ensures that inventory and product management is properly implemented.
3. Cash Management
3.1 Ensures that all cash on hand and deposit details are properly declared.
4. Station Performance Reporting
4.1 Prepares and submits the following reports to the assigned Accountant:
Daily Sales Report (DSR)
Cash Report
Inventory Variance Monitoring Report
Consumable/Revolving Fund Report
Inventory Analysis Update
Other Accounting Reports
5. Coordination with Contractor and Operator
5.1 Coordinates with the Coordinator of the third party service provider and the Operator in ensuring that the latter will supervise the performance of all station personnel are supervised by Coordinator and/or Operator.
5.2 Coordinates with the Coordinator of the third party service provider and the Operator in ensuring that all station personnel were trained on standard station operations and customer service.
5.3 Coordinates with the Coordinator of the third party service provider and the Operator in ensuring the shift schedules of station personnel were prepared and monitored by Contractor or Operator.
6. Customer Management
6.1 Manages customer complaints and coordinates any customer concerns to the supervising Retail Operations Officer and customer service personnel if needed.
6.2 Prepares the Key Account's Statement of Account (SOA) and submits the same to the Key Account representative for billing and collection purposes.
6.3 Informs the assigned Retail Operations Officer and Credit, Ordering, and Scheduling representatives if the current outstanding balance already maximized the credit term.
7. Other Tasks
7.1 Performs other tasks necessary to ensure the proper operations of the assigned station.
