Our US Partner is a minority-owned facilities services company that specializes in commercial janitorial and maintenance services in New York, New Jersey, and Pennsylvania.
 
We are seeking a skilled and motivated Spanish Bilingual Admin Assistant to provide top-level administrative support to our team. The ideal candidate is a proactive problem-solver with exceptional
communication skills and meticulous attention to detail.
 
Responsibilities:
Assist in communication with clients and prospects (e.g., sending out emails, responding to customer/client requests on behalf of team, etc)
Answer phone calls in a polite and professional manner
Handle incoming calls from prospects, clients, employees, applicants, and more
Direct phone calls and requests to the appropriate party
Manage calendar, coordinate schedules for leadership. Communicate changes and update calendars in a timely manner
Ensure all SOPs are handled correctly
Help in the creation of SOPs that are not currently documented
Maintain clean and structured organizational folder structure (digital file management)
Save down all bills, insurance certificates, payroll documents in their respective folders, clearly labeled in a digestible and organized manner
Plan local dinners and events for leadership team for each week and weekend
Coordinate travel, including flight research, hotel research, and research and plan activities
Project management - track outstanding items and follow ups from meetings to ensure projects and tasks are moving along
Maintain professional knowledge by reviewing company training materials and other educational materials provided by the Company or third-party resources offered to the Company
Monitor info/service email address for any service requests
Monitor info/service email and delete / block / unsubscribe from junk mail
Assist in special projects as needed and perform other duties as assigned or required; responsibilities will vary
Call and check in on customers on a periodical basis to ensure satisfaction of our services
Skills:
Has experience in Calendar management and Project Management
Fluent in Spanish and English
Advanced in Microsoft Suite
Personable and great customer service
General research
CRM Management
Great telephone voice
