Job Overview
We are seeking a highly organized and experienced professional to take on the role of Site Administration/Office Manager for our expanding BPO/Call Center operations in Davao. The successful candidate will play a crucial role in overseeing administrative functions, coordinating the buildout of the new site, and managing day-to-day operations to ensure a smooth and efficient workplace. The candidate will report directly to the President and will be required to understand all aspects of business dealings in Davao.
 
Responsibilities:
 
Site Buildout Coordination:
Work closely with the project team to oversee the buildout of the new site, ensuring it aligns with organizational standards and requirements.
Coordinate with contractors, architects, and other stakeholders to ensure timely completion of the facility.
 
Team Recruitment and Management:
Collaborate with the HR and recruitment teams in Cebu City to hire and onboard local staff for the Davao site.
Recruit and manage administrative, maintenance, and IT staff, fostering a positive and collaborative work environment.
 
Administrative Oversight:
Supervise day-to-day administrative tasks, including but not limited to office supplies procurement, equipment maintenance, and office cleanliness.
Manage facility-related vendors, such as cleaning services, security contractors, and maintenance personnel.
 
Legal and Regulatory Compliance:
Collaborate with legal professionals to ensure compliance with local regulations and laws in Davao.
Act as a liaison, with the Finance and Accounting Department, to government agencies, coordinating necessary permits and licenses.
Ensures books of accounts and original entry documents (company billing and OR) are updated. (The site will have its own set of books, ORs, and billing statements that must be present at the site. It may be done by him or a staff that we may hire. We will provide the template, instructions, and what to write in those accountable books and documents).
 
Coordination with Other Departments:
Work closely with IT, Compliance, Operations, HR, and accounting teams in Cebu City to ensure seamless integration of systems and processes between the two sites.
Facilitate effective communication and collaboration between teams in different locations.
 
Security and Safety:
Hire and manage security contractors to ensure the safety of employees and assets.
Implement and oversee security protocols and emergency procedures.
 
Financial Management:
Assist in budget planning and management for the Davao site's administrative functions.
Monitor expenses related to office operations and recommend cost-saving measures when applicable.
Qualifications:
Proven experience in office management and administration, preferably in a BPO/Call Center environment.
Strong organizational and leadership skills with the ability to multitask and prioritize effectively.
Excellent communication and interpersonal skills for effective team management and collaboration.
Familiarity with local laws, regulations, and business practices in Davao.
Experience in overseeing facility buildouts and managing vendors.
Ability to troubleshoot and solve problems related to office operations.
Bachelors degree in business administration, Human Resource Management or a related field is preferred.
