I. Job Summary
 
The School Bookkeeper is responsible for the accurate and timely recording of financial transactions, maintenance of accounting records, and preparation of reports in accordance with Philippine accounting standards for non-profit organizations. The role ensures compliance with government regulatory bodies and supports sound financial decision-making for school operations.
 
II. Key Responsibilities
 
A. Financial Record-Keeping
Record all financial transactions using appropriate accounting systems (Quick books).
Maintain and update BIR-registered books of accounts: General Journal, General Ledger, Cash Receipts Journal, Cash Disbursement Journal, etc.
Closing the books of accounts
File and organize financial documents for audit readiness.
B. Accounts Payable
Process and record supplier/vendor payments, reimbursements, and operational disbursements.
Ensure disbursement vouchers are supported by complete and authorized documents.
Monitor due dates and avoid delayed payments.
C. Payroll-Related Transactions
Post payroll-related journal entries, including salaries, taxes, and contributions (SSS, PhilHealth, Pag-IBIG).
Support timely remittance and documentation of statutory deductions and benefits.
D. Financial Reporting
Assist in the preparation of monthly, quarterly, and annual financial reports including:
Trial Balance
Income and Expense Summary
Cash Position Report
Budget vs. Actual Reports
Assist with external and internal audit requirements.
E. Budget Support
Help monitor budget utilization and alert management of overspending or deviations.
F. Government Compliance
In charge of preparation and submission of BIR requirements (1601C, 0619E, 1601EQ, 1603, 1702Q, 1702, 1604CF, 1604E).
Process the business & sanitary permit / fire certificate
Facilitate the processing of employees CTC
Coordinate with an external accountant or auditor for SEC and other compliance reports.
Ensure financial practices follow non-profit accounting rules and fund restrictions.
G. Administrative and Support Tasks
Coordinate with registrar, HR, admin, and other departments for finance-related processes.
Provide financial support during school events involving fund handling
Maintain confidentiality and ethical standards in all financial dealings.
III. Qualifications
 
Education:
Bachelor's Degree in Accountancy, Accounting Technology, or any finance-related course.
Experience:
At least 3 years' experience in bookkeeping, preferably in an educational or non-profit setting.
Skills:
Proficient in MS Excel and accounting software (e.g., QuickBooks)
Strong attention to detail and accuracy
Knowledge of BIR processes and non-profit financial standards
Strong organizational and time-management skills
