We are URGENTLY looking for a SALES COORDINATOR.
 
Job Summary:
 
The Sales Coordinator provides essential administrative and organizational support to the sales team, ensuring smooth operations and effective communication across departments. This role involves maintaining sales records, assisting with travel arrangements and liquidations, managing supplier inquiries, coordinating bidding requirements, and facilitating timely order processing and delivery. As the central liaison, the Sales Coordinator helps streamline workflows, enhance productivity, and efficiently address client and internal needs.
 
Job Qualifications:
Proficiency in office tools (e.g., MS Excel, Word, Google Workspace) and familiarity with CRM systems are pluses.
Ability to manage multiple deadlines and work efficiently under pressure.
A keen attention to detail and a customer-focused mindset.
Good command of English, Tagalog, and Cebuano
Reasonable administrative, organizational, and problem-solving skills
Strong organizational and multitasking abilities.
Excellent communication skills to interact with clients and collaborate with different departments.
Experience as a sales coordinator or in administration may be advantageous.
Key Responsibilities:
 
Administrative Support
Provide overall administrative support to the sales team.
Maintain and develop filing systems to organize sales records and documentation.
Update records, track sales data, and ensure accurate and timely documentation.
Inter-department Coordination
Act as a liaison between the sales team and other departments to facilitate smooth workflows and communication.
Coordinate with logistics, finance, and other teams to ensure timely delivery, invoicing, and order processing.
Inquiry and Supplier Management
Handle inquiries from suppliers and ensure timely responses.
Assist in sourcing and obtaining supplier quotations when needed.
Order and Follow-Up Management
Input and track orders to ensure they are processed accurately and delivered on time.
Follow up on pending tasks, deliveries, and customer requests to ensure satisfaction.
Bidding Preparation
Assist with gathering necessary documents for government bidding processes.
Ensure compliance with submission requirements and coordinate bid preparation and submission schedules.
Customer and Communication Support
Handle routine customer communication regarding updates, order statuses, and general inquiries.
Ensure that customer concerns are directed to the appropriate team members promptly.
Reporting and Compliance
Take minutes of meetings and assist with sales liquidation of travel and booking requests.
Ensure all tasks and processes adhere to company policies, laws, and regulations.
Miscellaneous Tasks
Perform additional tasks assigned by management to support the sales team and organizational goals.
