Expected Work of the Role
This analyst role involves route planning, batching the orders into loops and areas and allocating the trucks based on capacity & load fill.
BILLING
Receives Sales Order from key Account Executive and ensures that orders are processed and billed
Monitors transmittal of sales invoice from trucker to CD
Records and monitors incoming and outgoing documents like sales invoice, mails to and from other depots/main office
Generates reports such as Total Order, Billing Report, Invoice Transmittal.
Coordinates with 3PL supervisor/foreman for daily reports/KPIs and document filing
Does reports (daily, weekly & monthly) and submits the same to the concerned parties: such as KPI's, Sales Report, Cold Chain and other related reports required by the top management. Ensures its timely submission and data integrity.
Coordinates with the trucker in determining truck's usage based on billed invoices
INVENTORY
Conducts Daily IRA together with the Checker. Ensures timely submission of the same to the concerned parties.
Reconciles Daily Inventory per record against actual count together with the Checker. Reports immediately to the Depot Supervisor any stocks not accounted for after the reconciliation.
Conducts quarterly count together with internal auditor, Depot Supervisor and Checker. Reconcile count against record and prepare PID (Physical Inventory Document) for any product switching (same product category) of inventory for the approval of the top Management.
Ensures daily update of trade returns and delivery rejection and any related documents to inventory.
Monitors RRM, FGRS, Count tag, SEC (Styro Eutectic Crates) forms and Delivery Receipt to ensure its usage and accountability in case of missing series.
Conduct truck shakedown as needed.
CMU
Monitors CMU such as Cabinets and other POS material at depot.
Coordinated with the Key Account Executives in a timely deployment and pull-out of cabinets and POS at trade. This should be covered by an approved Freezer Delivery Receipt and other documents such as contract, and other related documents.
Determines series of documents. Sees to it that (1) series of documents is in order and complete, (2) all documents are checked, verified and approved and (3) alterations are signed.
Ensures timely submission of reports such as Inventory Count, Cabinet Adjustment Form, Cabinet movement and other related reports needed by the Top Management.
Records and turnover with the Checker or Guard on duty all documents for delivery.
Generate monthly report & send all pertaining reports & documents needed by the Head Office.
Coordinates with 3PL supervisor/foreman the monitoring and updating of CMU contracts.
Ensure the on time condemnation of cabinets.
On time adjustment of cabinet status
CASHIER
Receives daily remittance
Validates collection receipt against check collected
Encodes post-dated Check in the PDC report
Prepares cashier daily collection report
Deposit the collected check
Scan and send a scanned copy of the collection receipt and bank validation to finance
Send hard copy of collection receipt and validation to finance
OTHERS
Filing of documents
Does report of all exception noted on the daily operations
Calls the attention of Immediate Supervisor regarding customer's complaint/comments.
KNOWLEDGE/SKILL REQUIRED
College graduate preferably Major in Accounting, Industrial Engineering or Management
Computer literate (MS Word, Excel, SAP)
