Key Responsibilities:
Handle phone calls, answer/transfer calls professionally and take messages accurately, quickly, and properly
Properly handle walk-in guests, welcome visitors in a warm, professional and friendly manner
Handle incoming and outgoing mails and courier services
Coordinate and manage all meeting rooms booking
Purchase stationery/other office supplies, and make good inventory control
Arrange the printing of staff business name cards, company envelopes, paper with company letterhead
Assist in business travel arrangement, hotels booking, air tickets booking/issue/change/cancellation, airport pick-up service
Search for vendors and negotiate with vendors on hotel rates, office supplies and cleaning services.
Support the maintenance for office facilities and equipments, coordinate with vendors/contractors/building management for the repair and maintenance of office equipment when required
Support in preparation of office admin procedures and safety materials as requested
Provide admin support in company events and activities (outing, annual dinner, etc.)
Provide HR administrative support for HR related matters
Undertake any other duties assigned by the Company
Requirements of Education, Experience and Skill Sets:
Diploma or equivalent with at least 2 - 3 years of experience in receptionist cum admin assistant role
Strong time management and coordination skills
Detail-oriented with high level of accuracy in the work
Good interpersonal, communication and coordination skills
Good personality & outgoing character
Flexibility in approach and always have a 'can do' attitude
Good knowledge of MS office tools
