Purpose of the position
The Reception Services is the first experience of visitors to the Client Authority's Buildings and therefore it is imperative that the Receptionist provides a professional, customer oriented reception service and act in a manner that reflects positively on the Authority. Part of FM Team and will act as one of the key player to manage and sustain the account operations.
Role and responsibilities
The CBRE Reception employees are responsible for following tasks:
Meet and greet internal and external clients (visitors) in a friendly and polite manner
Ensure that visitors passage into the building is as smooth as possible, whilst complying with the Authority's procedural and security requirement at the Post
Deal with all visitor queries and requests in person or via email or telephone, as required
Reception desk and surrounding area is kept tidy, including any newspapers, magazines or company literature (all personal belongings are to be kept out of sight)
Assist Security in the validation and authorisation of all Authority ́ staff and visitors entering the building
Monitor access to the Authority ́ premises and direct visitors to the correct locations;
Report all incidents involving potential Security breaches or suspicious activities immediately to Security and document according to procedures agreed with the Authority
Carry out additional related duties, for example, assisting with catering events, as necessary to meet the needs of the Authority
Handle incoming calls ensuring that they are routed to the appropriate Client Authority Party
Central point for the booking of all client meeting rooms within the Authority premises
All related task that may be assigned from time to time
Administrative Functions
Main user of Facilities ticketing platform: Includes change of status, deployment and monitoring of the ticket till its closure. (To be audited by FCs)
Custodian of Helpdesk Manila email. Ensure that all emails will be attended and log accordingly thru raising a proper ticket
POC in receiving of all documents
Partner with mailroom services. Do instructions and checking for daily task and itinerary for Motorized Messenger
Main user for Courier Expanded services that being catered by WPS - thru I.T team (removed from FC Soft)
Will serve as back up with FCs in case of emergency
Experience, skills and qualifications requirements
All CBRE Reception employees should have the following minimum skills and qualifications:
A strong educational background and an excellent command of written and spoken English and the native language at the Post
Experience in a similar role
Experience of working within a demanding, fast-paced environment
Strong customer service skills
A professional manner in person and on the phone
Excellent written and verbal communication skills
An organized working manner
Team-oriented and able to work independently
Discrete in dealing with clients and client information
A good working knowledge of Microsoft Office, including, but not limited to Word, Excel and Outlook
All Reception employees must comply with the Client Authority policies of dress, behaviour & conduct as described from time to time
