JOB DESCRIPTION FOR A RECEPTIONIST/ADMIN STAFF

We are seeking a highly organized and multitasking-oriented Receptionist/Administrative Staff to join our team. In this role, you will be the first point of contact for our office, responsible for managing incoming calls, maintaining property advertisements, and ensuring compliance with all relevant regulations. This position plays a critical role in creating a positive impression of our organization and supporting our property-related activities.
The successful candidate will help build the client's best practice process to streamline his workflow and systematize the business.
As a Receptionist/Admin Staff:
• Experience as a receptionist or in administrative roles, preferably in a real estate or property management setting.
• Good verbal and written communication skills.
• Good organizational skills and attention to detail.
• Proficiency in using office software (e.g., Microsoft Office Suite).
• Ability to multitask and work efficiently in a fast-paced environment.
• Familiarity with property advertising platforms and copyright regulations is a plus.
Your Responsibilities as a Receptionist/Admin Staff:
• Professionally and courteously handle all incoming calls and inquiries, directing them to the appropriate staff members.
• Greet visitors and clients in a friendly and welcoming manner.
• Create and update property advertisements for various platforms, ensuring accurate and engaging property descriptions.
• Schedule property photoshoots and coordinate with photographers.
• Maintain and update a comprehensive database of property listings, ensuring accuracy and completeness.
• Manage calendars to schedule property showings, appointments, and meetings.
• Prepare and send contracts to clients and partners.
• Ensure all property listings and transactions adhere to relevant regulations and compliance standards.
• Conduct compliance checks and documentation as required.
• Stay informed about changes in property regulations and update processes accordingly.
