Our Marketing and Communications Group has an opportunity for aQualification and Bid Administratorto deliver outputs for tasks assigned that support the successful accreditation of GHD to clients and the successful packaging and delivery of major or strategic proposals while working in a team set-up.
The successful candidate will be responsible for:
Familiarize with internal GHD systems (various iConnect site, folder systems, project iConnect site, etc.) where information needed for accreditation, pre-qualification, or proposals can be acquired or accessed.
Manage the storing and updating of relevant files (staff CVs, project pen-picture, case study sheets, government registration, permits and certificates, client testimonials, etc.) essential for the accreditation and pre-qualification of GHD with clients.
In close collaboration with Project Director, Project Manager, and/or Business Group Administrator manage the collection of Project Completion Certificates after completion of the project. Projects will be selected by Pre-qualifications, Accreditations, and Operations Lead
Provide assistance in the collection, formatting, and finalization of the information deck or package needed to get GHD accredited or re-accredited by clients.
Familiarize with web portals of clients or clients third-party accrediting firms (example: Dun and Bradstreet) to facilitate successful accreditation of GHD with clients
In coordination with Business Group Administrative Assistants or Proposal Managers, identify and collect relevant project experience write-up needed to demonstrate the capability of GHD to successfully complete the scope of work defined in Terms of Reference (ToR) for Expressions of Interest (EoI), Pre-qualification (PQ), Request for Proposals (RfQ).
Help manage the updating and editing of the content of CVs for proposals and provide formatting to include only or highlight relevant project experience of specialists based on proposal requirements and role of the specialists as agreed or instructed by the Business Group Administrative Assistants or Proposal Managers.
Assist in managing the proposal preparation schedule and in obtaining responses from key resource staff for their inputs for a proposal.
Provide assistance in reviewing, formatting, printing, and packaging proposals.
Review compliance to the standard of uploaded new staff photographs every two weeks. Manage communication with staff who needs to revise their photograph.
Provide task support to the Marketing & BD team.
Participate in and perform special tasks and projects that may be assigned.
Skills, Competencies, and Qualifications:
Graduate of a Bachelor's Degree in Business Administration, Marketing, Communications or other equivalent courses
Minimum of 2 years relevant experience
Proficient in Microsoft Office applications
Has basic proficiency in Adobe Photoshop and InDesign, and other image-handling software
