The Purchasing Administrator is responsible for maintaining a well-organized system for purchasing documentation. This includes the proper filing of purchase orders, delivery receipts, supplier invoices, and other related documents. The Purchasing Admin supports audit and compliance requirements by ensuring all transactions are properly documented and accessible. Additionally, assists in tracking purchasing budgets and helps ensure that procurement activities remain within approved financial limits
Duties and Responsibilities
Maintain purchasing records and documentation, purchase orders, requisitions, contracts and suppliers profiling.
Ensure all purchasing records are up to date, organized and accessible for auditing purposes.
Maintain a supplier database with contact details, pricing agreements, catalogs and contracts.
Assist in ensuring that the purchasing team adheres to budgets and cost control targets.
Prepare purchasing reports and summaries for management, including tracking purchase orders, outstanding orders and budget status.
Maintain accurate records of all petty cash and via credit card purchases, documenting each purchase with receipts, its requisition and the date of transaction.
Track petty cash expenses to ensure that sufficient funds are available when needed.
May be asked to perform other duties at a higher level of proficiency.
