PURCHASING ASSISTANT
 
The Purchasing Assistant is primary responsibility to assist in the execution of the procurement process. He will be responsible for assisting with the creation of purchase orders (P.O.), facilitating documentation and contributing to the overall success of the procurement function.
 
COMPETENCIES
Procurement Processing Support
Assists in basic procurement processing tasks, such as purchase order creation and vendor communication. Develops foundational knowledge of procurement procedures.
· Assist in the creation and processing purchase orders (P.O.) for trade and non-trade commodities
· Assist in receiving the actual purchased items
· Assist in handling the procurement process for RRS and MT to ensure accuracy
· Support in ensuring that processing of receiving reports for the invoices from suppliers will be sent to treasury on time
 
Documentation and Records Keeping
Creates and maintains basic records related to all office and operations documents.
· Effectively prepares and files documentation related to the procurement process
· Filing of supplier accreditation requirements
· Ensure that the supplier accreditation requirements are complete and updated
 
Effective Collaboration
Reach out to the right process owners to clarify their understanding of a process or express a request
· Collaborate with the Purchasing Staff to gather requirements and specifications for purchased items
· Foster open communication channels to enhance teamwork and streamline the procurement process.
· Collaborate with the Purchasing Staff to understand internal stakeholders' procurement needs
 
Workplace Safety and Security Compliance
Understands and complies with safety and security procedures and policies
· Adhere to workplace safety and security policies, ensuring compliance with industry standards.
· Implement safety measures in the overall procurement process
