Position Summary:
The Provision Agent is at the forefront, of communicating among fleet of ships, suppliers, commodity buyers, market managers globally and global logistics, ensuring all Hotel Food & Beverage needs are satisfied for each vessel thus ensuring guest satisfaction. The incumbent¿s primary function is to create ordering & storing schedule, carry out the purchase order management for food, beverage and hotel items for their assigned vessels, ensuring 100% fulfilment of all purchase orders. This includes but not limited to the follow up, research and resolution for problematic purchase orders, missed deliveries, & process of recovery items as needed.
Essential Duties and Responsibilities:
Executes the creation of ordering and storing schedules which drives the timely submission of orders and dictates port loadings.
Create Pre-Voyage report based on discrepancy reported to vessel which may arise with purchase orders which are not in line with original request or non-conforming and provide a solution.
Attend Ship's Loading by providing support to Inventory Manager, in checking quantity and quality of products delivered by supplier.
Follow up with suppliers to obtain ETA on goods and services, and assesses with vessels proper timeline for delivery of products.
Researches viable solutions to problems such as delays and or missed deliveries, shortages, so that vessel and guests satisfaction are not impacted.
Performs cost analysis with Leads assistance, by comparing contracted price vs. local market price when necessary, and inquirers on low cost sourcing when purchasing outside of contracted market
Seeks guidance for issues such as lost or delayed containers, airfreights, which may have financial impact on the business.
Effectively support all loadings on the Weekend when assigned, by quickly identifying any potential issue and escalate to Manager/Director on call for immediate resolution, if possible prior to vessel departure from the Port.
Maintains frequent communication with 3rd party consolidators, and suppliers to ensure timely and accurate deliveries during normal circumstances as well as critical repositioning loadings.
Responsible for maintaining open order reports in order to capture shortages, in addition trouble shooting for any recoveries necessary.
Review & Action manual OPJ report ensuring that we are within tolerance, and orders are closed in a timely manner.
Resolves Invoice in Dispute (IID) as assigned on a weekly basis, identifying the root cause and process for payment.
Review OOR Report ensuring orders are released correctly based on delivery location and date in line with the MLS (Master Load Schedule)
Monitor in bound orders from assigned vessels via MOT type, ensuring all orders are received Shoreside, and processed based on schedule. Escalate to supervisor immediately should orders not get transmitted.
Run PO Edit Report and send to IM after orders are released, to review all submitted orders and confirm that it is correct and no orders are missing.
Qualifications, Knowledge & Skills:
Ability to work in a fast paced environment, with multiple projects and priorities.
Negotiation and analytical skills a plus.
Strong interpersonal skills and ability to communicate in a multicultural environment with all levels of employees and management.
Advanced knowledge of Microsoft Office products, specifically Excel.
Ability to calculate figures and amounts such as discounts and percentages.
Ability to write reports, business correspondence, and procedure manuals.
Ability to effectively present information, and respond to questions from groups of managers, clients, customers, and the general public.
A minimum of two years experience in procurement is necessary to perform this job.
