An amazing opportunity to work with a dynamic Property Management Company for an experienced, vibrant and highly motivated Virtual Assistant.
Reporting to the Property Management Director you will be a self-starting, highly organised an experienced Virtual Assistant with experience in Property Management Administration support for an Australian client.
Key Accountabilities and Responsibilities:
-Liaise with potential applicants, real estate agents, employers and referees (both verbal and via email)
-Prepare detailed and accurate tenant application summaries within strict timeframes to Client Liaison Managers
-Liaise and co-ordinate move in dates with Client Liaison Managers
-Update and Manage Rex, Ignite and Property Me
-Record and manage property key records
-Respond to Non registered enquiries by email, phone
-Advise potential tenancies of upcoming open for inspections / new properties
-Qualify prospective Tenants
-Match prospective Tenants with properties as they become listed
-Follow up prospective Tenants in database
-Update Ignite with status of applications as they are actioned
General Tasks
-Attend weekly meetings
-Meet KPI's targets
-Attend Company training sessions when required
-Perform Ad hoc duties as required
-Manage Conflict resolution/resolving disputes (team embers/suppliers/trades/Owners)
-Support other departmental staff as required
-Respond to emails received from tenants and suppliers
-Answering, returning and making phone calls
-Scanning and Filing of documents in PropertyMe
-Proactively planning inspection (routine) with current tenants as per due date
-Lease renewal related tasks - identify, seek instructions, rent reviews and applying renewal.
-Agreement and notice preparation in REIForms Live
-Ingoing and outgoing inspection, transcribing, checking against previous notes
-Invoice Processing
-Daily receipting and other accounting related tasks
-Maintenance request management (Jobs in PME)
-Regular communication in various lease cycle stages
-Arrears (rent and invoice) management and sending tenant invoice
-Landlord payment and outgoings tracker
-Bond processing and refunds
-Transfer of management coordination and setup
-New tenant acquisition including ECR transcribing, lease preparation, special conditions and consent form preparation, bond preparation, welcome pack, new tenant data into PM software, smoke alarm work orders
-Preparing and sending sale contracts for exchange and managing communication between all parties
-Tracking important Contract Dates and managing the process after a property goes under contract
-Preparation of CMA's (shared duty with Marketing VA)
Requirements
-Preparing Marketing Schedules (shared duty with Marketing VA)
-Listing Data Entry into CRM (shared duty with Marketing VA)
-Creating Sales Marketing Invoices (shared duty with Marketing VA)
-Preparation Sale Agency Agreement and requesting Supporting Documents (share duty with marketing VA)
-Preparation and Issue of Sale Documents to Tenants
-Sending Entry Notices to Tenants
-Filling out Sales Contracts and sending for signing
-Sending copies of Contracts to Solicitors, Buyers and Sellers
-Tracking important Contract Dates and managing the process after a property goes under contract
-Arrange utility connections for leased properties
-Preparation of management agency agreement
-Data entry into PM Software
-Take over managements - data entry and related forms
-Sending and managing PM/Sales reviews (shared duty with marketing VA)
-Application processing including reference checks, tenancy database check, following up tenants for missing documents and putting forward recommendations to PM or owner
-New tenant acquisition including ECR transcribing, lease preparation, special conditions and consent form preparation, bond preparation, welcome pack, new tenant data into PM software, smoke alarm work orders
-Arrears management, sending breach and termination notices, follow up notice expires, maintain follow ups on payment plans
-Routine inspection scheduling, sending notices, invite owners to inspection, prepare itinerary, review/send reports to owners, generate follow ups, issue entry or breach notices after inspections, routine inspection notice and creating skipped/no entry routine inspection monthly reports.
-Vacate process including vacate pack to tenant, updating dates and scheduling inspections/readvertising
-Maintenance including issuing jobs, following up, processing invoices, follow up quotes, update owners and tenants and track, manage and report maintenance stages.
-Lease renewal process including preparation of renewals list, sending recommendations to owner, conducting CMA, sending increase documents, updating PM software, lease renewal preparation, lease signature follow up and email confirmations.
-Email management including PME inbox processing.
-Accounting tasks including daily receipting, sending receipts to tenants and reconciling daily balance
-Invoicing including preparation of utility invoices to tenants, following up on overdue invoices and issuing breach notices.
-Payment of all related bills to property, management of landlord bill tracker, changing addresses and opting in to e-billing. Regularly following up to ensure no bills are missed.
You will have following experience:
-Minimum of 3 years of experience in Australian market, 2-3 years considered
-Excellent communication skills, both verbal and written
-Highly organized, process oriented
-Proactive results driven and efficient
-Experience in accounts and general admin within a financial services provider: Microsoft Office (Word, Excel and PowerPoint), Rex, Ignite and Property Me
Benefits
Benefits:

Monthly Salary: Php 32,000
2.
Salary will be paid on a bi-monthly basis on the 1st and 16th of each month
