Job Summary
Overall in charge of day to day Association Operations ensuring a visually appealing neighborhood, peaceful surroundings, and protection of property values. Shall be the point person of all Homeowners with regard to queries, requests, and concerns they might have relevant to their property and way of life within the community.
Job Description:
Draft, implement and revisit House Rules ensuring they are adhered to and are continuously and uniformly implemented throughout all homeowners, guests, visitors, deliveries, and other suppliers
Readily assists homeowners with their needs and readily responds to requests as applicable
Oversees and ensures maintenance and upkeep of residential grounds and common areas, safety, and security of all residents
Ensure all residential equipment and hardware, street lights, gates, facilities are in good working condition
Prepare staff schedule and ensure availability 24/7; if not, ensure proper scheduling to correspond with Homeowners behavior and requests
Maintain an inventory list of all supplies, equipment, and materials used by the property being handled. Ensure proper dispensing and deployment through a control log monitoring cost and usage for optimum utilization
Prepares and monitors budget and expenses ensuring efficient use of allocations
Welcomes new Homeowners, hands over the units and the keys, conduct briefing, orientation and familiarization with House Rules, Services, and various locations
Ensure maintenance duties and schedules for both soft and hard services are adhered to at all times
In charge of billing preparation, distribution, and collection of dues in liaison with Finance
Spearheads and monitors community activities that will promote spirituality and good relations among homeowners; possibly revenue earning
Hears complaints, investigates, mediates disputes and conflicts, resolves issues that may arise between Homeowners and guests
Issues notices and fines to erring and non-compliant homeowners for consistent violations and after several mediations
Work with a group of officers, council, or board (if and as applicable) to implement projects, directives, changes for the betterment of the community as approved by the Management Board
Facilitate requests for 3rd party service providers and handles liaisons in conjunction with Head Office directive, on services required for the association
Monitor performance of 3rd party service providers in compliance with quality standards and adherence to contract stipulations
Assist Homeowners with 3rd party providers and others ensuring safety and compliance to Association Rules and Regulations while within the premises
Liaise with local government units for association requirements and possible needs eg Police, Fire Department, Barangay, Waste Management, Emergency Medical Services etc.
Ensure compliance to statutory and regulatory requirements; Monitor payments and deadlines of permits etc.; Facilitate requisitions and coordinate with Head Office
Monitor tenant move-ins and temporary move-outs (vacations) ensuring the security of the premises
Accepts handed over units, in coordination with Head Office Management and Technical Team and notes exception findings, coordinates fore rectification prior to acceptance and release to unit owners
Handles accreditation of vendors (street goods) as a matter of provision and to ensure the safety and security of the homeowners
Proper dissemination to homeowners and preparation in the event of announcements of oncoming disasters. IN charge of Emergency Management Procedures, Emergency Response Team as applicable to the community being serviced
Will ensure proper scheduling, deployment, and assignments of tasks and manpower during set up and hand-overs
Storage and inventory of keys, supplies, assets, and items used for special events
Assist Finance in coordinating and collecting payables due
All other duties that may be assigned from time to time
Job Qualifications
Educational Background and Credentials/Professional Licenses
Graduate of Bachelor of Science major in Civil Engineering
Has basic training in Customer Service Modules
Work Experience
Has handled large scale communities of 100 tenants and above
Exposure in Property Management and Tenant Relations
Technical Knowledge/Skills and Soft Skills (Tools, Programs, Applications, Behavioral Attributes)
Above-average communication, coordination, and negotiation skills. Composed and can do creative problem solving
Keen attention to details and quick to respond and results-oriented
Efficient office management and organization skills; Basic computer skills
Organized reporting skills
Candidate must be willing to be assigned to our housing project located in Brgy. Catmon Sta. Maria, Bulacan
