ADMIN FUNCTIONS:
1. Directs the over-all function of Property
Management of various projects sites
2. Ensures that house rules, By Laws, Deeds of
Restriction are strictly implemented
3. Compose, sign and issues Memorandum
circulars to all Homeowners
4. Prepares the annual operating and capital
expense budgets, cash flow and Financial
Reports
5. Prepare weekly and monthly operation reports
and attend meetings with the client
6. Ensures that delinquent accounts are properly
disconnected and reconnection
7. Coordinates with HOA BOD in ensuring that
delinquent accounts be properly acted based
on the subdivision house rules.
8. Ensure compliance with relevant laws and
regulations
9. Maintain a positive relationship with clients,
unit owners, contractors and service providers
10. Conducts daily physical inspection and
walkthroughs of the subdivision and its facilities
to ensure compliance with maintenance
standards
11. Resolution to Homeowners violation& concerns
12. Holds weekly meeting with property
management staff to plan, organize and
provide direction in proper execution of work
assignments
B) SECURITY AND SAFETY:
Ensure security of premises and maintain security
device with coordination from security personnel
C) ENGINEERING:
1. Approves plans prior to the construction and
renovation of units
2. Ensures that all maintenance programs for the
equipment and facilities of the project or
property are executed as per schedule to
minimize equipment downtime.
FINANCIAL FUNCTIONS:
1. Distribute the monthly SOA to residents and
homeowners. SOA, etc.
2. Collects all dues, rentals and other
assessments from the homeowners & remits
to:
a. HOAI Treasurer for the monthly
subdivision dues, rental of facilities and
other collections for HOAI
b. PPVI Cashier for collections of
electricity, water, construction bonds.
3. Monitors & Collects construction bonds for
projects of homeowners/residents.
4. Ensures timely distribution of SOA to all
Homeowners based on Collection Policy of the
subdivision.
5. Manage subdivision power and water utility,
secure billings, payments, charging to
homeowners and contract
6. Maintains proper records of all activities and
reports to BOD of the homeowners, in clear
and uniform procedures. These reports include
but not limited to:
a. Building Operational Reports ( weekly,
monthly, quarterly and annual reports)
b. Circulars/memos
c. Monitoring ( contract, permits, utilities,
forms etc.)
GENERAL ADMINISTRATION:
1. Assist & present during the Turnover of the
units to individual owners.
2. Assists the homeowners and its committees in
carrying out various social and community
activities
3. Formulates and implements various
operational system and procedures to ensure
smooth, efficient and effective administration
and management of the project.
4. Maintenance and upkeep of RFO and model
units and ready for turn-over to the buyers
13. Coordinates with the site maintenance crew (grass
cutters and street sweepers) on areas to be prioritized.
Sets standards as far as subdivision maintenance is
concerned.
QUALITY AND ENVIRONMENTAL MANAGEMENT SYSTEM RESPONSIBILITIES:
Attend to PPVI's induction on Environmental Compliance and any other IMS orientations & training required
Adhere to PPVI's Environmental Regulations imposed by PPVI (i.e. Waste Management Policy)
Throw garbage properly as per waste management policy
Ensure to turn off lights and air conditioner when going home
Use water responsibly
Take good care of equipment, vehicle, or laptop issued to my custody
Report to immediate head any Near Miss observed
Ensure to comply with Client's requirements to obtain Client's Satisfaction and avoid Customer Complaints
EDUCATION:
Bachelor's/College Degree of Civil Engineeing, Professional License (Passed Board/Bar/Professional License Exam)
At least 2-3 year(s) of working experience in Property Management is required for this position.
TRAINING AND EXPERIENCE:
Must have knowledge on applicable laws on subdivision management housing rules of HULRB
SKILLS:
Communication skills (circular issuance, BOD resolution, other communications)
