About the Role
If you are an independent, proactive problem solver with exceptional communication skills and meticulous attention to detail, we have the right role for you to start in January 2021. You will be assigned to our award-winning commercial and residential specialised painting services in Sydney, Australia. The company has been in operation for 17 years and has received 22 awards for excellence, 9 highly commended, and have placed as finalist 44 times by Master Painters Australia. The primary responsibility of this role is to support the Managing Director/Founder in ensuring that priorities are met, communications with internal and external stakeholders are managed effectively, and various projects and tasks are completed in alignment with best practices.
Duties and Responsibilities
Provide administrative support in the preparation and submission of quotes/tender from pre-qualification to contract award;
Review completeness and accuracy of contract documents - schedule, scope of work, bills of materials, images, pricing, building regulations, legal advisory and other contract related documents;
Coordinate with project managers and other team members for specific, relevant and important requirements to complete quote/tender and contracts in progress;
Assist the Managing Director/Founder in budget planning, reporting and correspondence with contractors, customers and suppliers;
Mange proper data management system, where contracts are kept and made available as and when required;
Build, manage and maintain customer and supplier relationship by reviewing, filtering and responding to all incoming and outgoing emails, calls and website queries;
Manage and monitor calendar - project deadlines, schedule and appointments;
Prepare presentations, documents and other reports, as and when required;
Requirements
Experience with Adobe Lightroom is desirable;
Minimum of 5 years' work experience in project administrative role;
Diploma or Bachelor degree in Business Administration or similar;
Great command in speaking and written English;
Excellent interpersonal skills, structured and high attention to detail;
High proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.
Strong time-management skills and ability to organise multiple projects simultaneously;
