Job Description Privacy Risk Officer Job Description Key Responsibilities: This position is responsible for supporting the Asia Compliance team in its oversight of the Privacy Risk Management Program in Asia Segment, specifically on the following areas: i) Training and Awareness Review and agree with Asia BUs on their annual privacy training plan Assist in the preparation and launching of Annual Privacy Awareness Campaign jointly with AIRM at Regional Office (RO) and coordinate with Asia BUs in distributing privacy materials Participate in Information Protection (IP) Education Team meetings and provide comments from privacy perspective on IP awareness materials, annual IP Training, phishing simulation etc. and provide comments from Asia perspective as necessary. Provide training and track attendance to Business Unit Privacy Officers/ Coordinators, Department Privacy Coordinators, Asia Legal and Compliance Program leads and other audience as deemed necessary. Share of privacy updates/lesson learnt in Asia L&C SharePoint, Asia Privacy Network, and Quarterly Privacy Meetings with BUs Review training materials and processes at the Segment and BU level to streamline processes and effort (e.g. level of training, materials that can be leverage, penetration rate, completion rate and room for simplification etc.) Create privacy training materials and other guides to help BUs in privacy incident reporting and escalation ii) Monitoring of Controls Develop and agree with Asia BUs on their annual privacy Quality Assurance (QA) plan Perform QA on privacy controls as stated in the privacy policy/guidelines/ procedures (i.e. for staff, agents, and vendors) for Asia BUs Perform QA on Regional Office i.e. practices of storage/transmission of PII etc. Share of insights or trend noted from QA reports with Asia BUs Reviewing Annual Privacy Self-Assessment and Attestations and coordinating with BUs to address any gaps Consolidate response from Asia Segment markets on ad hoc questions / projects raised by Regional Compliance. Monitoring privacy legislative updates across BUs and coordinating to close any gaps Assist in providing requirements for Regional Privacy Audits (if there's any) iii) Incident Management Escalation and Reporting Process Oversee privacy incident response and handling of Asia BUs, especially on incidents that are rated as moderate or above to ensure they are properly handled Provide access requests to Archer IM, and conduct access entitlement review annually for the Asia Segment privacy module Conduct quarterly Data Integrity Clean-up Exercise (DICE) and incident review to ensure data input in the Archer IM are timely, accurate and complete as per the Archer IM Logging Handbook. Share insights and trend with Asia BUs and to adjust training and awareness strategy if necessary Collaborate/ work with other stakeholders as necessary in monitoring or mitigating privacy risks. Prepare write up and statistics on Asia Privacy Incidents for the Quarterly Asia Compliance Report and Quarterly Segment Privacy Report to Global Privacy Office Coordinate and advise on RO / BU privacy incidents. Support and respond to RO/ BU queries on privacy-related matters Develop privacy dashboard for easier monitoring and tracking of privacy incidents happened in Asia Segment markets. iv) Others Provide general support to the privacy risk management program as required including the Annual Privacy Self-assessment and follow up, coordinate/ respond to ad hoc requests from Global office etc. Provide general support to BU on Archer monitoring of privacy incidents / legislative update. Provide administrative support for access right control of privacy incident module. Job Requirements (Knowledge/Skills/Competencies): Good interpersonal skills, creative and open minded, willingness to learn and adaptive to change Experience in Compliance (in particular Privacy) / Legal / Audit is strong preferred Proficient in MS Office Suite of products including MS Word, Excel, Power Point Experience in creating reports, graphs, and using analytics tools (such as Power-BI) will be a great asset Fluent in English, knowledge in Chinese (reading and writing) will be a good asset good English-language writing skills Flexible and adaptable when dealing with change with a strong awareness and understanding of cultural diversity Ability to work independently under pressure and make prompt decisions in a fast-paced environment Diligent in meeting given deadlines Education/Professional Experience Bachelor's degree in Accounting, Legal, Finance, Business or related fields is preferred Professional knowledge in Compliance, Legal, or Audit 4-6 years working experience in the Insurance, Asset Management, Banking or Financial Services If you are ready to unleash your potential, it's time to start your career with Manulife/John Hancock.
