About the Role
As a Personal Assistant, you will be reporting directly to the Directors and will be managing the administrative, reporting, planning, scheduling, and organising tasks to keep time and attention focused on company goals, projects, and priorities. You will be expected to process and resolve issues quickly, and with little direction at times.
Key Responsibilities and Accountabilities
Organise 'goals achievement' celebrations by booking venues, sending calendar invites to all staff etc.
Organise 'staff birthday' celebrations by ordering gifts online, booking venues, and sending calendar invite to all staff.
Monthly monitoring and inventory of office, kitchen, and cleaning supplies and purchasing these online.
Liaise with the cleaner directly: arrange appointments and supervise their attendance.
Order stock for flyers, presentation packs, and business cards.
Answer all incoming calls to the office and transfer them to the appropriate team member.
Set up the workstation for a new team member's first day including IT-related resources (One Drive, Process Street, emails), install all programs on the new team member's computer and email the recruiter for the information and documents we need from the new team member.
Coordinate relationships with the IT company for assistance with any IT-related issues in the business.
Update passwords in Dash Lane when these have expired and share them with the team.
Review quarantined emails and release the ones that have been accidentally blocked.
Manage social media accounts.
Manage the staff member of the month survey.
Manage all aspects of travel and event preparation.
Organise and plan meetings and appointments.
Read, monitor, and respond to the director's email (in their absence).
Manage all office administrative-related tasks.
About You
A successful candidate MUST be very organised, can multitask, be proactive and has initiative. You should NOT be a yes or no person and have creative and interesting ideas and suggestions. You should also have the ability to think quickly in a very fast-paced environment.
Position Prerequisites
Minimum of 1 to 2 years of experience in administration roles with an ability to communicate confidently with Western managers.
Prior experience in working with Australian clients is an advantage.
Experience managing a dynamic, rapidly changing office and providing administrative support.
Intermediate to Advanced Microsoft Office skills (Word, Excel, PowerPoint, and Outlook).
