The Permits and Licenses - Stations and Corporate Assistant / Officer acquires regulatory clearances, permits, and licenses for the operations of depots/terminals, stations, and other facilities.
Success in this role will require you to fulfill the following responsibilities:
1. Acts as representative and/or liaison during the permits acquisition process from application to issuance
a. Tracks and follows up the status of submitted applications for particular permits
b. Facilitates meetings with Local Government Units (LGUs) regarding issues arising from permits acquisition
c. Coordinates with government offices both national and local with respect to actual inspection of sites
2. Secures and submits application forms and checklists needed for the acquisition of applicable clearances, permits, and licenses
a. Obtains a checklist from Local Government Units (LGUs)
b. Fills up information needed
3. Completes papers and documents required in the course of permits acquisition
a. Gathers from relevant parties the necessary requirements such as building plans, signed contracts, and other documents
4. Prepares Check Payment Requests (CPRs) for various payment obligations and cash advances in connection with permits acquisition
a. Ensures that various fees and charges for clearances, licenses, permits, and other regulatory requirements are paid on a timely manner
5. Verifies compliance of dealers/distributors with the applicable regulatory requirements
a. Verifies if the station has acquired pertinent permits such as Department of Energy (DOE), Laguna Lake Development Authority (LLDA) and Permit & Operate (PTO)
6. Deals with the Bureau of Internal Revenue (BIR) with respect to the acquisition of the requisite permits for stations and depots
a. Prepares and submits the application for the requisite permits, including renewals and thereof
b. Follows up the issuance or grant of the subject permits
c. Monitors compliance with the conditions provided with the grant or issuance of the permits
7. Monitors the status of permits acquisition, including the remaining effectivity and subsequent renewals thereof
a. Business permits- renewed on a yearly basis
b. Fire Safety Inspection Certificate- renewed on a yearly basis
c. Sanitary Permit- renewed on a yearly basis
8. Performs other related functions as may be assigned from time to time
Preferred Qualifications for the Role:
Graduate of a four-year course relating to Legal Management/LLb/Political Science, and from reputable universities
At least one (1) to three (3) years of experience in any professional background. Has an advantage if with legal related experience
Adept in time management skills, strong analytical skills, high interpersonal skills, ability to manage multiple tasks in a pressured environment, problem solving skills, team skills, focus oriented in achieving goals towards company development, provide leadership, coordination, management and oversight of all administrative function related to the company's goal and strategic goals
Demonstrates strong energy, flexibility, enthusiast, attention to detail, excellent customer service and have strong passion on customer relation in providing quality service
Above average verbal and written communication skills
Working knowledge of web-based Google Workspace (formerly, G Suite, and comprises of spreadsheets, documents, and presentations)
Willing to do fieldwork around Zamboanga, as needed
Expectations from Candidates:
Candidates who are invited for HR screening will need to undergo and pass an online exam and/or technical exam, and accomplish HR documents, personality tests, and essay exams before proceeding to the HR interview.
Candidates who pass the HR interview would then need to submit soft copies of their available pre-employment requirements, such as the Transcript of Records, Diploma, and NBI clearance. The complete list will be provided by the recruiter.
In the event candidates are hired, they would be required to submit hard copies of all the pre-employment requirements and pass the medical exam and background check before onboarding.
