As an Operations Admin Assistant, your role is...
To provide administrative support to the Operations department. This position will initiate and coordinate the clerical functions required in effective implementation of administrative policies of the company program. This function is a non-customer service task and will not be contacting authors neither in mails nor phone calls.
 
Responsibilities
Designs and prepares reports, forms, charts, memos, and other documents, as needed.
Produces major/complex reports for management, as and when required.
Maintains the confidentiality of correspondence, documents, discussions and reports.
Communicates with sales and operations teams.
Assists customer service representatives to determine mailing needs and/or status and respond to questions in relation to this.
Performs daily clerical duties such as sorting and distributing incoming mail and faxes; copying and collating; and other routine duties necessary to assist senior personnel and departmental management.
Verifies and completes required documentation and reports, including but not limited to; productivity information.
Collects statistics for the program coordinators/managers at requests;
Assists in managing the ongoing operational and staffing activities of the department.
Assigns new submissions or new projects to intended representatives. Upon advice from Manager or Supervisor, the Administrative assistants may also transfer book assignments to other representatives.
Facilitates requests for ISBN assignments and this includes controlling the list of unassigned and assigned ISBNs and ensuring that there will be no duplicate ISBN assignments.
Helps Operations Supervisors and/or Department Managers in tracking, monitoring and reporting specific books from the WIP i.e. expedited, prioritized projects, etc.
This job is perfect for you if you have :
Above average proficiency in MS Excel and other MS office systems ( MS Word and Power point).
Knowledge in Macros is a plus
Exceptional analytical skills with keen attention to details and accuracy.
Has background in report analysis.
Has good command in English in both oral and written.
Ideally possess flexibility, be able to adapt to constantly changing demands and show they capable of taking on new and unfamiliar tasks.
Competent at multi-tasking, as they will frequently find themselves in the centre of everything happening in the office.
At least some team-working abilities.
Education and Experience
College graduate. Experienced in clerical or administrative functions.
