Job Description:
Administrative Tasks
Clerical work:
• Answering calls and liaising with clients competently
• Conducting research
• Preparing presentations
Data Entry Tasks
Apply Online Data Entry:
• Ensure supporting and compliance documents are completed on time.
• Advise broker to review the drafted data entry and submit the application in Apply Online.
• Promptly and accurately input customer and loan details into Apply Online system and resolve validation errors.
• Upload supporting documents in Apply Online (If Apply Online is unavailable, send it thru Prime or Gmail)
Accounting/ Broker Support Tasks
Loan Packaging and Submission:
• Setup loan application and attach supporting documents into Prime and Discovery.
• Gather and validate supporting information eg. Payslips, identification, and bank statements.
• Preparation of compliance documents, Lender forms, etc.
• Chase missing or incomplete documents.
• Raise pricing requests from the lender.
• Arrange property valuations on behalf of the Broker.
• Complete signed application form and any other lender required documentation.
Loans Processing:
• Maintenance of loan tracking and status in Prime (client preference).
• Collaborate with Brokers and Clients to obtain any additional information requirements to enable follow through to Unconditional Approval.
• Provide feedback with valuer, lender, and mortgage solicitor with any request and/or progress of application.
• Liaise with the clients to sign the loan documents upon submission to the lender.
• Make sure that documents are signed and returned to Lending institutions in a timely manner to ensure on time settlements.
• Endorse confirmation of formal approval to broker, client and solicitor (as instructed).
• Liaise with outgoing lender for the Discharge Form.
• Coordinate with lender and solicitor for settlement booking.
• Finalise settlement checklist tasks on Prime including updating client's new address.
• Compose settlement advice email for the client.
• Finalise checks on file to make sure all cleared in Discovery.
Post Settlement Task
• Client Retention Activities:
• Create customer communication profile.
• Schedule anniversary call for the broker.
• Schedule 3-month, 6-month and Interest Only rolling task in Dynamics.
• Other CRM database tasks.
