Our agency is currently looking for an experienced and organized Office Manager for a Mental Health Clinic.
Position: Mental Health Clinic Office Manager
Shift: 9 am to 5 pm EST (Monday - Friday)
Job Summary:
The Mental Health Clinic Office Manager is responsible for overseeing the administrative functions of the mental health clinic, ensuring the efficient and smooth operation of daily activities. This position involves managing office staff, coordinating patient services, and maintaining compliance with healthcare regulations.
Responsibilities:
Responsible for running a digital office and performing various admin tasks: such as Data entry, client follow up, scheduling, taking client info including demographics, insurance and billing, running Google spreadsheets for records and billing, and communicating to clients via phone and email.
Office Administration: Supervise and lead office staff, including receptionists, administrative assistants, and billing professionals. Establish and maintain efficient office procedures to ensure a smooth workflow. Implement and monitor systems for appointment scheduling, patient registration, and billing processes.
Financial Management: Manage billing processes, including insurance verification, claims processing, and resolving billing inquiries. Collaborate with finance personnel to monitor financial performance, budgets, and expenses.
Compliance and Regulation: Stay informed about and ensure compliance with healthcare regulations, including HIPAA, to protect patient confidentiality. Oversee the implementation of policies and procedures to adhere to industry standards and regulatory requirements.
Patient Services: Coordinate patient scheduling to optimize clinic productivity and ensure timely and effective patient care. Address patient inquiries, concerns, and feedback to maintain a positive patient experience.
Conflict Resolution: Address and resolve conflicts or issues within the office environment, promoting a positive and collaborative atmosphere.
Communication and Collaboration: Facilitate communication between clinical staff, administrative personnel, and external stakeholders. Collaborate with healthcare providers to support the integration of administrative and clinical functions.
Continuous Improvement: Identify opportunities for process improvement and implement changes to enhance efficiency and effectiveness. Stay updated on industry trends and best practices to enhance clinic operations.
Qualifications:
Bachelor's degree in healthcare administration, business management, or a related field.
Previous experience in office management, preferably in a healthcare or mental health setting.
Knowledge of healthcare regulations, including HIPAA.
Strong organizational, communication, and leadership skills.
Proficiency in office software and healthcare management systems.
