Job Description:
The Leasing Officer is responsible for providing essential administrative and organizational support to the Leasing Manager for Pick Up Coffee stores in the Visayas and Mindanao regions. This role involves managing records, encoding data, and ensuring smooth organization within the leasing section. The Leasing Officer will report to the Leasing Manager to support all leasing and billing operations efficiently.
 
Key Responsibilities:
Record Management and Organization
○     Maintain accurate and organized records of all leasing and billing documents, contracts, and invoices.
○     Ensure that all documentation is up-to-date, accessible, and compliant with company standards for record-keeping.
○     Assist in archiving older records and files as necessary.
Data Encoding and Documentation
○     Encode lease and billing information into the system, ensuring data accuracy and consistency.
○     Regularly update lease details, payment statuses, and contact information in the leasing database.
○     Prepare and organize documentation needed for lease renewals, billing cycles, and reporting.
Section Organization and Support
○     Organize files, contracts, and other documents within the leasing section to ensure efficient operations.
○     Assist with the preparation of reports, summaries, and presentations as requested by the Leasing Manager.
○     Support the team in maintaining an orderly and accessible filing system, both digitally and physically.
Communication and Coordination
○     Serve as a liaison between the Leasing Manager, Billing Officer, and other departments to coordinate documentation and data requests.
○     Assist in setting up and organizing meetings, including preparing necessary materials and follow-up documentation.
○     Address routine inquiries from lessors, service providers, and internal teams regarding lease or billing-related questions.
Reporting Line:
●     Reports to the Leasing Manager
 
Qualifications:
●     Bachelor's degree in Business Administration, Real Estate, or a related field (or equivalent experience).
●     At least 6 months - 1 years of experience in an administrative or support role, preferably in leasing, property management, or billing.
Competencies (Knowledge, Skills, and Attributes):
●     Strong organizational skills with a high attention to detail.
●     Proficiency in Microsoft Office, especially Excel and Word, and experience with data entry or record management software.
●     Excellent communication skills and a collaborative mindset.
●     Ability to handle multiple tasks efficiently and prioritize in a fast-paced environment.
●     High integrity and discretion in handling confidential information.
●     Positive attitude and flexibility in supporting various administrative tasks.
