The Lease Administrator is responsible in providing consistent support for specific functions in the areas of portfolio management, contract review, lease abstraction and database management, through on-time delivery of reports, and continuous improvements resulting to optimum service delivery to the business units, Corporate Real Estate - Hong Kong and Canada. These include the support in the requisition of lease contracts, with constant communication to contract/facility managers per location for primary data captured in the contracts. The lease summaries will be the footprint of key lease provisions, for posting into the centralized repository, like Tririga RE system, a consolidated database for all facilities-related contracts, aiding the production of reports for a comprehensive view of costs and commitments.

We are looking for someone with:
Bachelor's degree in Accounting, Financial Management, or Business Management
Preferably 1 year work experience with a background of Property administration or Commercial lease administration or asset management
Strong computer skills with the advance knowledge in Microsoft Excel
Extensive knowledge in MS Office applications
Ability to learn new technologies and tools quickly and work effectively in a changing environment
Working knowledge about lease management software/s
Working knowledge of Sharepoint site
Flexibility to shift schedules
On the job you will:
Assist and support in the delivery of real estate portfolio database management, lease administration and lease abstraction services
Assist in implementation of web-based data management system, update files and records, create therein if necessary
Confirm data integrity and liaise with property administration managers to secure contracts / agreements/ property records and to ensure correct base rent, Common Area Maintenance, real estate taxes, applicable local taxes, insurance, etc.
Record and extract lease clauses/terms/conditions/options into database and track pertinent lease information (i.e., inter-entity contracts, third-party tenancies, expirations, renewals, mid-term amendments, etc.)
Maintain and update property information such as unit information, floors, and area for units and building
Ongoing updates to lease records as required including tenant contact information, renewal processing, and other updates as required
Monitoring of critical dates and option status information
Perform self-audit of work done to ensure accuracy
Assist and prepare periodic reports for management purposes
